Job description

This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a People Operations Specialist based in Spain.

As a People Operations Specialist, you will help ensure smooth, reliable, and well-organized HR operations within a rapidly growing international organization.

You will support employees throughout their journey, from onboarding and documentation to everyday HR requests and employment verifications.

Working closely with the People Operations Lead, you will contribute to efficient workflows, accurate employee records, and a positive employee experience.

You will collaborate with People, Talent, IT, hiring managers, and other teams to keep essential processes running seamlessly.

This role offers the opportunity to strengthen your HR expertise, learn new systems, and take ownership of recurring operational responsibilities.

You will also contribute to projects that improve internal processes and support the organization's continued growth.

Fully remote and suited to an early-career professional, this position offers an engaging environment where attention to detail, initiative, and collaboration make a meaningful difference.

Accountabilities
  • Provide employee support: Serve as a day-to-day point of contact for People-related questions, offering clear and helpful responses, tracking requests, and escalating sensitive or unfamiliar matters when necessary.
  • Coordinate onboarding: Partner with Talent, hiring managers, IT, and other stakeholders to coordinate onboarding activities, maintain checklists, and ensure new employees are prepared for their first day.
  • Manage employment verifications: Process employment verification requests according to established procedures, ensuring accuracy, professionalism, and confidentiality.
  • Coordinate background checks: Administer background-check platforms, monitor outstanding cases, follow up with relevant parties, and escalation findings to authorized decision-makers.
  • Maintain employee records: Keep HR systems accurate and up to date by reviewing employee information, organizing documentation, and maintaining reliable records.
  • Prepare HR documentation: Draft, organize, and maintain routine employee documents under the guidance of the People Operations Lead.
  • Monitor workflows and deadlines: Maintain trackers and process documentation, follow up on outstanding tasks, and identify potential delays or operational gaps before they escalated.
  • Support process improvements: Contribute to employee-lifecycle projects by improving workflows, updating internal guides, and completing assigned project tasks.
  • Collaborate across teams: Work closely with People, Talent, and cross-functional partners to ensure consistent communication and efficient day-to-day operations.
Requirements
  • Relevant experience: 2–3 years of experience in HR and/or Talent, with practical involvement in coordination, employee or candidate support, and administrative processes.
  • Excellent organizational skills: Ability to manage competing priorities, maintain clear trackers, meet deadlines, and carefully review records and documentation.
  • Proactive mindset: Willingness to anticipate next steps, follow up independently, take ownership of routine responsibilities, and flag potential issues early.
  • Strong communication skills: Clear, empathetic, and professional communication, combined with a service-oriented approach to supporting employees and colleagues.
  • Adaptability and willingness to learn: Ability to navigate unfamiliar systems, learn new processes, ask thoughtful questions, and incorporate feedback.
  • Discretion and sound judgment: Ability to handle confidential employee information responsibly and recognize when a question or situation requires managerial guidance.
  • Digital proficiency: Confidence using spreadsheets and digital tools, with the ability to learn and work effectively with HR information systems.
  • Additional advantages: Experience in a startup or fast-growing organization; exposure to onboarding coordination, HRIS or ATS administration, employment verifications, or background-check platforms; and experience supporting distributed or international teams.
  • Time-zone flexibility: Some overlap with US Eastern Time working hours is beneficial.
Benefits
  • Fully remote work: Work remotely from an eligible location in Ukraine or the European Union, subject to the role's employment arrangements.
  • Professional development: Build broader People Operations expertise while learning new HR systems, processes, and best practices.
  • Hands-on experience: Gain practical exposure to the full employee lifecycle, including onboarding, employee support, documentation, and background-check coordination.
  • Growing international environment: Collaborate with distributed teams and cross-functional stakeholders in a fast-paced organization.
  • Increasing responsibility: Take ownership of established operational tasks while contributing to projects and continuous process improvement.
  • Supportive management: Work directly with the People Operations Lead, with guidance and feedback as you develop your skills and responsibilities.
