Vivo España in Madrid is seeking a Go-to-Market Backoffice Specialist to support GTM and Sales operations through backoffice processes. The role requires organized, detail-oriented execution and cross-functional coordination.

You will refine sales workflows with the Finance and Logistics teams, manage project plans, track progress, and prepare regular reports. English and Spanish are required, with Power BI knowledge a plus.

Formación

• Bachelor or above in Administrative, marketing, business, economics or related field.
• Experience: More than 1 year.
• English and Spanish required; Chinese a plus.

Responsabilidades

• Assist GTM team and support GTM and Sales operations through backoffice processes.
• Coordinate with Finance on invoice, payment matters and internal processes.
• Liaise with Warehouse/Logistics for shipment arrangements.
• Develop, execute, and monitor project plans with milestones.
• Coordinate communication between internal cross-functional teams and external operator partners.
• Track project progress and escalate risks as needed.
• Organize project meetings and write/distribute minutes and action items.
• Prepare clear project reports and presentations on progress, achievements and challenges.

Position Overview

We are seeking an organized and detail-oriented Go-to-Market backoffice specialist to assist GTM team and support GTM and Sales operations through backoffice processes.

Administrative & Process Support

• Assist in refining and optimizing sales team processes to enhance team collaboration efficiency.


• Coordinate with the Finance Department on invoice, payment matters and internal process.


• Liaise with the Warehouse/Logistics Department for shipment arrangements.

Project Coordination & Management Support

• Assist the GTM in developing, executing, and monitoring project plans, ensuring project milestones are met on time.


• Coordinate communication and collaboration between internal cross-functional teams (e.g., Product, Sales, Marketing, Legal, Supply Chain etc) and external operator partners.


• Track project progress, identify possible risks and escalating issues promptly.


• Organize and schedule relevant project meetings, including internal sync-ups and operator collaboration sessions, and be responsible for writing and distributing meeting minutes and action items.

Data Analysis & Reporting

• Collect, organize, and maintain data and documentation related to Sales/GTM projects, including market research reports, competitor analysis, product specifications, weekly/monthly sales analysis, user feedback, and operator requirements.


• Assist with data analysis team to provide effective support for Sales tools development according to the Sales team requirements.


• Prepare clear, professional project reports and presentations to update the team and management on project progress, achievements, and challenges.

• Strong organizational and multitasking abilities.


• Proficiency in tools like Excel, and project management platforms.


• Excellent attention to detail and problem-solving skills.
