Job summary

Grand Hyatt Barcelona seeks an Event Rooms Coordinator to plan and coordinate accommodation for groups and events, acting as the main contact for room-related needs from group confirmation through post-stay follow-up.

You will work with Reservations, Front Office, Housekeeping, Revenue, Finance, Sales, and Events to ensure seamless operations and an outstanding guest experience in a fast-paced luxury setting.

Qualifications

• Experience in group reservations, rooms coordination, event planning, or hotel operations is highly preferred.
• Experience in luxury hospitality or high-service environments is highly preferred.
• Strong organizational and time-management skills with attention to detail.
• Ability to manage multiple groups and room blocks simultaneously.
• Excellent communication and interpersonal skills with a guest-focused mindset.
• Fluency in Spanish and English; additional languages are a plus.
• Proficiency with hotel management systems and Microsoft Office.

Responsibilities

• Act as main contact for clients regarding accommodation-related requirements from group confirmation through post-stay follow-up.
• Manage group room blocks, rooming lists, reservations, amendments, and cancellations.
• Coordinate VIP guests, upgrades, amenities, and special accommodation requests.
• Monitor room block pickup, communicate risks and opportunities to teams.
• Collaborate with Reservations, Front Office, Housekeeping, Revenue, Finance, Sales, and Events.
• Oversee group arrivals/departures, check-in, luggage, and operational needs.
• Ensure rates, billing instructions, payment arrangements, and contracts are reflected in systems.
• Support revenue optimization through upgrades and extended stays when appropriate.
• Handle last-minute changes with a solutions-oriented mindset and professionalism.
• Complete post-stay follow-up on billing and guest feedback.
