Job summary

Helsing is seeking a Workplace Manager for its Barcelona office to ensure smooth, safe operations and a welcoming environment where teams can excel. You will own day-to-day facilities, coordinate vendors, and collaborate with local leadership to maintain high standards.

You will support health and safety, manage budgets, and help host events that strengthen the employee experience, reporting to local leadership and working with HR.

Qualifications

• Have owned a workplace or office environment, with vendors and facilities managed to a high standard.
• Negotiating and administering service contracts with external partners.
• Fluent in Spanish and English (written and spoken).
• Working knowledge of Spanish workplace regulations (PRL/LPRL) is a plus.
• Well-organised, able to manage competing priorities across operations and employee-facing tasks.

Responsibilities

• Coordinate and oversee local vendors and suppliers (cleaning, catering, security, maintenance).
• Manage day-to-day facilities operations, troubleshoot issues, ensure safety and welcoming environment.
• Support health, safety and compliance requirements under PRL/LPRL, coordinate risk assessments and procedures.
• Track and report Barcelona workplace budget; process invoices and monitor spend against allocations.
• Coordinate local workplace events and cultural moments with HR and leadership.
