Webfleet in Barcelona is seeking an Administration Specialist to join our Admin team, supporting our UK and Ireland customer base. You will handle contract activation, invoice queries, and after-sales coordination, while maintaining accuracy and a service-oriented approach.

Formación

• Excellent communication skills in English; other languages welcome (German).
• Experience with process documentation (flowcharts, process descriptions).
• Experience in a customer-facing role is a plus.

Responsabilidades

• Handle administration related to services from signature to contract activation.
• Coordinate after-sales activities for existing customer database and tariff changes.
• Handle complaints from start to resolution and assist Accounts Receivable with invoice queries.
• Serve as point of contact for contract-related queries and perform monthly invoicing tasks.
• Create process-related documentation and identify opportunities for improvements.

At Webfleet, we’re looking for an enthusiastic, highly motivated and results oriented Administration Specialist in Barcelona to support our Admin team dedicated to our United Kingdom and Ireland customer base.

What you’ll be doing:

You will be Reporting directly into the Administration Team Lead in the following activities:

Customer facing activities, such as:

• Handle administration related to services, from customer signature to document checks and ultimately contract activation,
• Coordinate after sales activities for existing customer database, e.g. data care/hygiene, contract changes (tariff changes, terminations, etc.),
• Handling complaints from start to resolution,
• Assist the Accounts Receivable department in solving invoice or payment queries,
• Point of contact for other departments for contract-related queries,
• Invoicing: administrative, monthly tasks fulfilling customer and legal requirements,
• Return label creation for rented hardware and follow up with customers
• Process-related activities, such as: Creating process-related documentation (process flows + descriptions); Identifying and implementing potential process improvements.

Who are you?

• Good communication skills: English (additional language welcome, e.g. German).
• Experience with process documentation (eg. flow charts + process description) + process improvement.
• Strong interest in working in a B2B environment
• Ideally, some experience in a customer-facing position.
• You are solution-oriented and accurate person with a positive attitude.
• Enjoy working in a team in an international and dynamic environment.
• Good computer and administration/organization skills.
• Understanding technical issues is an asset.
