Responsibilities

  • Manage reception and office service operations.
  • Welcoming guests and visitors.
  • Administering and distributing access cards.
  • Managing mail and parcel logistics.
  • Performing administrative tasks, including data entry and documentation.
  • Coordinating calendars and meetings.
  • Managing office supply inventory.
  • Supporting facility operations and event coordination.
  • Communicating with clients, vendors, and contractors to implement facility procedures and address inquiries.
  • Collecting and filing work orders, proposals, and performance reports.
  • Ensuring security protocols are consistently followed.
  • Preparing and scheduling meeting rooms, including technical setup and catering support.
  • Maintaining cleanliness in the reception area and common spaces, coordinating facility services as needed.
  • Responding to client inquiries and concerns, ensuring timely service delivery and follow-up.
  • Assisting in maintaining compliance with Health & Safety (HSE) requirements, including reporting, promoting a safe work environment, and ensuring that QHSE documentation is up to date and accessible.
