We’re looking for a Workplace Coordinator to join our Facilities team here at Just Eat Takeaway. In this role you will work to ensure that our amazing spaces are well managed, maintained and secure. The role will involve you sitting & managing the reception desk. The successful candidate will be working with the global facilities team and will be responsible for building strong relationships with our supplier partners, ordering office supplies and coordinating any maintenance activities that may be required.
Based in our Berlin office, you will be working within an exciting, fast-paced, and dynamic environment, using your first class communication and administration skills to deliver an outstanding experience to our teams, visitors and suppliers.
Key Responsibilities
- Arrange meeting room/events set-ups and dealing with requests for food & drinks.
- Manage facilities email inbox, office slack channel, the help desk ticket system, and other forms of communication to the site.
- Assisting the reception team with the post that is delivered to the site & franking the post that needs to be sent out. This may include covering the reception if they are absent.
- Co-develop and implement procedures, systems and improvements; developing and maintaining them in line with local rules.
- Manage the purchasing for all office supplies such as stationary & raising purchase orders for contractual works.
- Ensuring expenditure against the budget is followed so there are no overspends.
- Coordinate all maintenance and repairs with service providers.
- Keeping records of compliance, records like fixed wiring, emergency lighting certificates, and many other documents.
- Maintain relationship management with third parties and other key stakeholders within the business.
- Act as a point of contact in case of emergency and work as a prevention worker, informing colleagues about a healthy workplace/work environment.
- Maintain our energy data sheet by populating it with waste, water, electricity & gas usage.
- Assist with the management of the fleet with the support from other coordinators.
- Coordinate, monitor, and control day-to-day facilities and maintenance activities like arranging ad hoc works, supporting the business with tasks.
- Help maintain physical and entrance safety and security.
- Assists the London facilities team daily and the global facilities team when required to.
Your Profile & Experience
- You have successfully completed commercial training (e.g., in the hotel industry, gastronomy, office management) or already have initial experience in Facility Management.
- You can independently structure your daily work.
- You don't get stressed by turbulent situations but see them as a welcome challenge and remain flexible.
- You are communicative, service-oriented, and can communicate appropriately and professionally at all levels at all times.
- Your dedicated work ethic and hands-on mentality distinguish you.
- You speak fluent German and English.
