The Travel Analyst is responsible for day-to-day management of travel activities and provides analytical support to the administration and monitoring of travel-related services ensuring high quality and accuracy of work. The role involves analyzing travel policies, monitoring expenditures, coordinating with vendors, and promoting a client-focused approach in travel services delivery.
Responsibilities
- Contribute to the development of travel category strategy, analysis, and policy formation, leveraging industry best practices and insights to drive continuous improvement and innovation.
- Ensure effective implementation of operational strategies and travel-related management processes.
- Analyze travel data and prepare regular and ad hoc robust travel reporting and insights.
- Interpret UNDP's travel policy, Staff Rules, administrative circulars and financial regulations and rules on travel-related matters; manage exceptions to travel policy.
- Coordinate with travel related vendors to ensure provision of high-quality professional service and competitive prices.
- Develop and maintain training materials on travel management and processes for personnel.
- Approve Purchase Orders and Invoices related to travel requests and claims ensuring compliance with travel entitlements and UN rules.
- Follow up on travel-related queries and refer to appropriate offices as needed.
- Compile summary reports and recommend amendments to travel policy for cost savings and efficiency.
- Propose and implement tools to streamline and enhance the travel process in collaboration with developers and vendors.
- Attend meetings related to travel services and management.
- Endorse UN travel documents and serve as alternate focal person for travel arrangements requiring exceptional ticket approval.
- Develop systems and procedures for travel-related tasks to ensure monitoring and quality assurance.
- Analyze reports and contribute to monthly analysis and reporting of travel services income and expenditures.
- Organize and conduct training for staff on travel management and develop training materials.
- Synthesize lessons learnt and best practices in travel-related management.
- Contribute to knowledge networks and communities of practice.
- Coordinate travel application testing and report results.
- Coach and develop team members.
- Supervise the work of 3 Travel Associates (G7 level).
Requirements
- Advanced university degree (master’s degree or equivalent) in Business Management, Business Administration, Operations Management, Public Administration or any other relevant discipline is required.
- A first level university degree (bachelor’s degree) in the areas mentioned above, with two additional years of qualifying experience will be considered in lieu of advanced university degree.
- Minimum of 2 years (with master’s degree) or 4 years (with bachelor’s degree) of professional experience in administration of travel at the national and/or international level is required.
- Experience and sound knowledge of UN travel policies is a distinct advantage.
- Demonstrated experience in operational issues on the ground related to humanitarian sector is desirable.
- Professional association or certification in travel management/administration will be an advantage.
- Proven experience in analyzing travel related reports is an asset.
