Jobbeschreibung

As a Travel Administrator, you will concentrate your activities on the following:

Validation of business travel expense claims:
  1. Uploading of invoices
  2. Validation of expenses for accuracy and compliance
  3. Follow-up with travelers via telephone and email
  4. Tracking of communications
  5. Follow-up / clarifications with 2nd line support
  6. Processing of the claims in SAP
Provide overflow / peak support to the FM Service Desk
  1. Handling the switchboard internal / external calls
  2. Creation of tickets for all service providers
  3. Timely coordination of incoming emails and phone calls
  4. Provision of assistance to employees on finding information related to daily processes
  5. Acting as a bridge between employees and service providers
  6. Handling of Lost and Found items

Please note: This position is offered as a fixed-term contract with an ending date of 31/08/2023.

There is a potential for further extension / a permanent contract.

Responsibilities:
  1. Service Desk experience or similar customer service experience
  2. Technical know-how
  3. Very good customer service skills required
  4. Capable of adjusting and integrating into the multicultural environment of a European organization
  5. Friendly approach and the ability to handle complex situations is essential
  6. The ideal candidate shall be reliable, punctual, dressed in business attire, and competent to carry out the services.
  7. Secondary school graduation (preferably high school graduation / Abitur) plus professional education;
  8. Minimum 3 years of relevant professional experience; in case of current academic study, 2 years of professional experience;
  9. Basic knowledge of Facility Management standards e.g., GEFMA;
  10. Basic knowledge of Ticket systems or CAFM software e.g., Planon;
  11. Basic knowledge of Switchboard systems e.g., PeterConnects;
  12. Basic knowledge in travel modules in ERP systems e.g., SAP Travel module;
  13. Good knowledge of MS Office (Outlook, Word, Excel);
  14. Very good communication and customer service skills;
  15. English skills level C1 (according to the self-assessment grid available on the Europass website: http://europass.cedefop.europa.eu);
  16. German language skills are a plus.
