Qualifikationen

• Fluent German and strong business English, both spoken and written.
• Demonstrated experience in logistics, freight forwarding, shipping and receiving, warehouse operations, or events operations.
• Valid Class B, C1, or C driving licence.
• Legally authorised to work in Germany.

Aufgaben

• Coordinate logistics with the trade show team, including shipping destinations, delivery windows, and deadlines.
• Prepare and manage freight and courier documentation, obtain quotes, and track shipments to delivery and return.
• Ship demonstration instruments to events and customer sites, and receive inbound inventory from Indonesia.
• Run shipping and receiving at the Oberursel warehouse, fit with pallet jack handling.
• Pack and prepare booth materials, displays, and equipment to a consistent standard for on-time arrival.
• Deliver supplies locally across Germany and neighbouring markets as required.
• Maintain accurate event, shipment, and inventory records in tracking spreadsheets and CRM.
• Travel to two to three trade shows per year, typically up to one week each, to support booth build and dismantle.

About the Role

We are looking for a Trade Show Coordinator to join our growing European operation. Formulatrix runs more than 100 events worldwide each year, and this role sits at the centre of how we get our people, instruments, and materials to them on time safely.

This is a hands‑on position that combines coordination and research with practical logistics. You will help decide which shows we attend, own the freight and shipping paperwork that gets us there, and run the warehouse operation in Oberursel that supports it. You will work closely with our trade show team in Pakistan, our manufacturing site in Indonesia, and our global sales managers.

What You Will Do

• Coordinate logistics with our trade show team in Pakistan, including shipping destinations, delivery windows, and receipt deadlines
• Prepare and manage all freight and courier documentation, obtain shipping quotes, and track shipments through to delivery and return
• Ship demonstration instruments to events and customer sites, and receive inbound inventory from our manufacturing site in Indonesia
• Run shipping and receiving at the Oberursel warehouse, including loading and unloading delivery trucks and operating a manual pallet jack
• Pack and prepare booth materials, displays, and demonstration equipment to a consistent standard so that everything arrives complete and on time
• Deliver supplies and equipment locally via van across Germany and neighbouring markets as required
• Maintain accurate event, shipment, and inventory records in our tracking spreadsheets and CRM
• Travel to two to three trade shows per year, typically up to one week each, to support booth build and dismantle

What You Need

• Fluent German and strong business English, both spoken and written. You will work daily with colleagues in Pakistan and Indonesia and with German suppliers, organisers, and freight forwarders
• Demonstrated experience in logistics, freight forwarding, shipping and receiving, warehouse operations, or events operations.
• Valid Class B, C1, or C driving licence
• Precision with timing and deadlines. Events do not move, so materials have to arrive before they open
• Confident with spreadsheets, including basic analysis, filtering, and reporting
• Well organised and able to manage several shows in parallel at different stages
• Legally authorised to work in Germany

Nice to Have

• Experience with international freight, customs documentation, or ATA carnets
• Prior exposure to trade shows, exhibitions, or conference logistics
• Experience working with a CRM or relational database. Full training on our system will be provided, so this is not required
• Experience coordinating across multiple time zones and international teams
