JOB PURPOSE
The Scheduler is responsible for overseeing and coordinating inspection activities at petroleum and petrochemical terminals, refineries, and related sites. This role involves coordinating personnel assignments, holiday schedules, planning inspection schedules, ensuring compliance with safety and quality standards, and providing training and support to inspection staff.
ESSENTIAL DUTIES AND RESPONSIBILITIES / KEY ACCOUNTABILITIES (Other duties may be assigned)
- Coordinates inspection work at petroleum and petrochemical terminals, refineries, and related sites.
- Plans and coordinates various inspections across multiple terminals in West Germany.
- Monitors and communicates vessel arrival and departure times, as well as inspection-related activities, to field staff.
- Supervises and communicates effectively with inspection field staff before, during, and after each job assignment.
- Check on KPI and improve with practice on examples the handling and results.
- Plans and manages manpower, staff rosters, and daily operation coordination.
- Coordinates transportation of samples to laboratories and other Saybolt locations, including courier services.
- Collaborates closely with laboratory and operations teams to ensure seamless coordination of inspection activities.
- Performs routine inspection work as needed, including covering high workload or sick leave and vacation periods.
- Conducts Client Self Audits and provides training to inspectors, including classroom and on-the-job training.
- Ensures proper calibration and maintenance of inspection equipment; conducts periodic audits and provides training on equipment calibration procedures.
- Organizes and oversees maintenance of life-saving vests, gas masks, and other safety equipment.
- Conducts on-site safety training for inspection staff and ensures compliance with safety protocols.
- Coordinates and conducts internal audits in cooperation with quality management.
- Familiarizes with and adheres to API Manual of Petroleum Measurement standards and safety regulations.
- Participates in safety meetings, demonstrates leadership in promoting safety practices, and ensures adherence to safety manuals.
- Takes accurate product measurements and samples, performs calculations, and completes required reports promptly.
- Provides field documentation and safety training to new inspector trainees and current inspectors.
- Assists the Manager with performance evaluations of inspectors and performs other duties as assigned.
- Willingness to travel to other locations for short periods as required.
- Ability to read, analyze, and interpret instructional and technical materials pertaining to procedures, safety, and relevant government regulations.
- Works safely in the presence of hazardous materials as defined in the appropriate Material Safety Data Sheets and in the presence of the normal hazardous conditions of inspection work sites.
- Supervises and performs field documentation and safety training functions for new Inspector Trainees and current Inspectors as directed by the Manager.
- Undertakes any other reasonable duties as designated by the line manager.
EDUCATION / EXPERIENCE
- Effective communication skills in both German and English.
- To perform this job successfully, an individual should have experience as Inspector in Essen / Rhineland or need to get to know the locations, specific requirements, and usual time which is needed for driving and performing.
- Candidates for the position must also have a minimum of three (3) years of applicable experience as Inspector (or equivalent position).
KNOWLEDGE & SKILLS
- Familiarity with basic computer skills in word processing and spreadsheet programs is necessary; same as Saybolt apps; however, Scheduler must possess the capability to learn these applications through instruction provided by Saybolt.
- Ability to guide less experienced personnel in the functions of inspection work at the location.
- Ability to teach and demonstrate the importance of following correct safety, equipment calibration, inspection field work and documentation, and ethical behavior to Inspectors and Senior Inspectors.
- Ability to interface with job site personnel and less skilled Inspectors in a professional manner.

- Be able to safely perform inspection work while wearing required safety equipment, regardless of ambient weather conditions.
- While performing the duties of this job, the employee is regularly required to stand for extended periods; use hands to handle, or feel objects, tools, or controls; talk or hear; and to smell. The employee frequently is required to walk, sit, and reach with hands and arms; and to stoop, kneel, crouch, or crawl.
- Be able to climb storage tank ladders and stairs, typically 25 to 80 feet high, as required for any job assignment, while carrying 30 lb. of samples and/or inspection-related gear or equipment.
- Be able to climb vessel gangways, ladders, Jacob’s ladders, and stairs, as required for any job assignment.
- Be able to work in the presence of odors typical of petroleum or petrochemicals without allergic reactions or nausea, when such odors are within OSHA-designated TWAs.
- Be able to work in confined spaces (as defined by OSHA), wearing appropriate respiratory and skin protection equipment.
- Pass a physical examination by a physician designated by Saybolt, both before employment and at any time during employment upon request of Saybolt to confirm the Field Supervisor's ability to perform the essential job functions of the position.
