Job summary

BEAT81 is seeking a Senior People Operations Manager to own core HR topics end to end, from onboarding to payroll and documentation. You will ensure visa and work permit compliance for international staff and connect People tools like Leapsome, Asana, and Intercom to automate workflows.

You will partner with FOH Operations to support a diverse, global team and act as a trusted advisor on complex, sensitive issues. Fluency in English and German is required.

Qualifications

• 5+ years of experience in People Operations / HR administration.
• Proven experience owning topics fully end to end — from decision-making to execution.
• Strong knowledge of German labor law and compliance requirements, including visa/work permit processes for international employees.
• Experience managing employees across different contract types and locations.
• Experience designing automation, workflows, or AI-supported solutions in HR/ops.
• Hands-on experience with HRIS tools and cross-platform workflow building.

Your mission

As a Senior People Operations Manager, you own our most complex People Operations topics end to end. From compliance-critical areas like visas and work permits to the workflows connecting our People tools (Leapsome, Asana, Intercom, and more). You’ll be part of a small, close-knit People Operations Team — this is an individual contributor role where you make the decisions and see them through yourself, balancing high-volume ticket work with self-driven improvement projects. You’ll also partner closely with our FOH Operations team to support a large, diverse workforce, and act as a trusted advisor when situations fall outside the standard playbook.

What you will do

• Take full, end-to-end ownership of core People Operations topics — including onboarding, offboarding, contracts, payroll and documentation — from decision-making through execution.
• Own the preparation of our two monthly payroll runs, working closely with our payroll provider and FOH Operations team to ensure every payment is accurate and on time.
• Own employee compliance end to end: ensure every employee is assigned the correct contract type and has all required documentation on file, including full ownership of visa and work permit processes for international staff and acting as the primary point of contact on compliance matters.
• Manage and support our full workforce — HQ, city-based Office & Operations employees, and Front of House staff — across multiple contract types and locations, ensuring correct setup, documentation, and ongoing administration for each.
• Manage a high volume of incoming tickets and requests through our People inbox/ticketing tools, prioritizing effectively while maintaining a high standard of service and communication.
• Act as a trusted advisor to managers and employees on non-standard, complex, or sensitive matters — including drafting bespoke documentation and agreements from scratch when no existing template fits.
• Proactively identify gaps and inefficiencies in our People Operations processes, and independently drive improvement projects from idea through implementation.
• Design, build, and roll out automated, AI-supported workflows and integrations across our tools — including Leapsome (HRIS), Asana, and Intercom — to eliminate manual work and connect our systems.
• Maintain accurate, up-to-date HRIS data as a reliable single source of truth, and support strategic reporting and people analytics to inform business decisions.

What you bring

• 5+ years of experience in People Operations / HR administration, ideally in a fast-paced, international, or scaling startup environment.
• Proven experience owning topics fully end to end — from decision-making to execution.
• Strong knowledge of German labor law and compliance requirements, including hands-on experience with visa and work permit processes for international employees.
• Experience managing or supporting employees across different contract types, locations and working models.
• A strong track record of designing and implementing process automation, workflow integrations, or AI-supported solutions in an HR or operations context.
• Hands-on experience with HRIS tools (Leapsome or similar) and comfort working across multiple platforms (e.g., Asana, Intercom) to build connected, efficient workflows.
• Excellent judgment and communication skills, with the ability to act as a trusted advisor and consultant to stakeholders at all levels.
• The ability to draft custom documentation and agreements from scratch, without relying on existing templates.
• A resilient, solution-oriented mindset with the ability to manage a high volume of tickets and requests while still making time for proactive, self-driven project work.
• Excellent attention to detail and organizational skills when managing contracts, documentation, and compliance-sensitive processes.
• Fluency in English and German (minimum B2 German).
