Zusammenfassung

Global University Systems GmbH in Berlin seeks an experienced higher-education administrator to lead timetabling, room allocation, and course scheduling across campuses. You will ensure data accuracy in university systems and support enrollment and scheduling needs for students and faculty.

You will coordinate with cross-campus teams, contribute to accreditation processes, and support the rollout of a new scheduling tool by September 2027.

Qualifikationen

  • Completed university degree and relevant professional experience in higher education administration.
  • Initial experience in leading and managing teams.
  • Ideal knowledge of CampusNet database or comparable scheduling system.
  • Fluent German and English in writing and speaking.
  • A high level of initiative, organizational talent, teamwork, reliability and flexibility.

Aufgaben

  • Implementation and optimization of academic planning processes related to timetabling and room allocation.
  • Ensuring data completeness and accuracy in university systems (e.g., adjunct faculty data, timetable information).
  • Monitoring and controlling timetable planning, oversight of course offerings, and tracking teaching hours.
  • Development and implementation of room utilization concepts for lectures and events.
  • Creation and development of course and event calendars.
  • Support in the enrollment process and timetable information.
  • Organization and support of study programmes offered each semester.
  • Participation in accreditation processes for existing and new programmes.
  • Oversee student-facing service delivery via on-site service hours and digital communication.
  • Lead case management for complex student cases with service department counterparts.
  • Lead evaluation and optimization of digital tools supporting scheduling operations.
  • Support the Director of Student Services on strategic development and continuous improvement plans.
  • Manage the implementation of a new scheduling tool by September 2027.

Your Responsibilities

Key Activities & Responsibilities:

  • Implementation and optimization of academic planning processes related to timetabling and room allocation
  • Ensuring data completeness and accuracy in university systems (e.g., adjunct faculty data, timetable information, etc.)
  • Monitoring and controlling timetable planning, including oversight of the overall course offerings, tracking teaching hours for internal and external instructors, and planning and supervision of degree programs
  • Development and implementation of room utilization concepts for lecture halls and other spaces for both academic and non-academic events, as well as evaluation and continuous improvement of effective room usage
  • Creation and development of course and event calendars
  • Support in the enrollment process (e.g., monitoring group size limits, providing timetable information)
  • Organization and support of EHL on the study programmes offered every semester
  • Participation in accreditation processes for existing and new programmes
  • Oversee student-facing service delivery via on-site service hours and digital communication
  • Lead case management for complex student cases in collaboration with service department counterparts
  • Lead evaluation, implementation, and optimization of digital tools supporting scheduling operations
  • Support the Director of Student Services on strategic development and continuous improvement plans
  • Manage the implementation of a new scheduling tool by September 2027
Your profile
  • Completed university degree and relevant professional experience in higher education administration.
  • Initial experience in leading and managing teams.
  • Ideally, practical user knowledge of the CampusNet database system or a comparable scheduling and planning system.
  • Enjoy working with cross-campus teams and collaborating with various stakeholders and functional interfaces.
  • Fluent German and English language skills, both written and spoken.
  • A high level of initiative, organizational talent, teamwork, reliability, commitment, loyalty, and flexibility completes your profile.
