The Regional Workplace Specialist will ensure the development of offices while respecting the brand image and the employee experience. We are looking for a Regional Workplace Specialist to support several offices focusing on Office Management, Health and Safety, Risk Assessment, Event Management, and Compliance.

Workplace Management :
  • Supports day-to-day office operations, ensuring our offices are maintained to a high standard, and coordinates necessary adjustments, repairs, and improvements with external contractors and vendors.
  • Optimizes office layout and assists management in finding suitable solutions.
  • Supports onboarding/offboarding processes (desk setup, access badges, etc.).
  • Fosters effective communication with employees, addressing inquiries and concerns professionally and promptly.
  • Manages facility management providers and services, including relationships with building management, cleaning, maintenance, printers, security, and common equipment.
  • Ensures office safety and security policies are followed (visitor registration, locking doors, etc.).
  • Maintains inventory of snacks, supplies, and office goodies, placing orders as needed.
  • Coordinates supplier invoices and payments, maintaining accurate financial records within the budget.
  • Sources contractors and suppliers for repairs, maintenance, cleaning, renovations, waste disposal, and security, creating a reliable network.
Health & Safety Management :
  • Assists in ensuring all facilities and technical services adhere to safety standards and regulations, supports inspections, maintains safety protocols, and organizes safety training.
  • Regularly updates the Compliance and H&S pages relevant to your region.
  • Monitors H&S audits and risk assessments, assessing outcomes and implementing improvements.
Risk Management / Compliance :
  • Supports risk assessments for all tasks and areas, ensuring hazards are identified and mitigated.
  • Maintains up-to-date knowledge of relevant legislation and guidance, ensuring statutory compliance.
  • Reviews documentation for accuracy and compliance, contributing to audits and continuous improvement.
  • Supports the development of site-specific policies, procedures, and systems ensuring legislative and company compliance.
  • Supports investigation processes for accidents, maintains records, and proposes corrective actions.
Events Management :
  • Suggests suitable events that align with team culture and internal values.
  • Coordinates events, managing issues on the day, liaising with providers, managing budgets, coordinating participants, and gathering feedback.
About you :
  • Over 1 year of experience in a similar Office Management role.
  • Dynamic, with a proactive 'can-do' attitude, comfortable with operational and administrative tasks.
  • Excellent verbal and written communication skills in both German and English.
  • Basic knowledge of Health & Safety regulations.
  • Proficient with Google Suite and other office management software.
  • Well-organized, detail-oriented, proactive, and quality-focused.
  • Thrives in a fast-paced, collaborative, and friendly environment.
