To promote and provide a first-class secretarial and administrative service as part of the Covington & Burling LLP secretarial services team.
Duties & Responsibilities :
- Prepare cost accounting and cost determination according to the RVG (Das Rechtsanwaltsvergütungsgesetz).
- Correspond appropriately with clients, courts, and authorities.
- Collect, examine, and organize evidence and other legal documents for review and case preparation.
- Research regulations, laws, and legal articles to assist with reports, case files, and legal advice.
- Coordinate and maintain effective office procedures and workflow; comply with employer policies; establish harmonious working relationships with supervisors, co-workers, and clients.
- Work effectively as part of the secretarial team; provide cover during absences, handle calls, and volunteer for overflow work when possible.
- Maintain confidentiality of all client and Firm information, records, and files.
- Manage daily diaries for attorneys; schedule meetings, arrange itineraries, and coordinate travel.
- Communicate effectively with clients; handle calls, sort and read incoming emails and documents, and file appropriately.
- Type and compose correspondence, documents, memos, reports, presentations, ensuring accuracy and timeliness.
- Use the Firm’s computer systems and software effectively; maintain filing systems in both hard copy and electronic formats.
- Record attorney’s time daily into Intapp; finalize entries with the Accounting Department by month-end.
- Manage billing processes, liaising with billing coordinators as needed.
- Coordinate reimbursement requests and payments for out-of-pocket expenses and invoices.
- Keep secretarial handover notes up-to-date for each attorney.
- Perform other ad hoc secretarial or administrative duties as required.
Skills and Behaviours :
- Confident handling of beA.
- Monitor deadlines and appointments in Outlook and the deadline diary (Fristenbuch).
- Knowledge of foreclosure proceedings is desirable but not essential.
- Be a good team player.
- Maintain good attendance and punctuality.
- Possess excellent technical skills with the Firm’s software applications.
- Provide quality service and perform self-review of work.
- Liaise professionally with clients.
- Organize and prioritize workload effectively to meet deadlines.
- Be flexible to work additional hours as needed.
- Experience with MS Word, Excel, PowerPoint, and Outlook.
- Experience with Intapp, ChromeRiver, and billing is a plus.
- Fluent in German (written and spoken) and very good English skills (written and spoken).
