Qualifikationen

  • 3 Jahre Erfahrung als Empfangskraft oder in ähnlicher Rolle.

We currently have an excellent opportunity for a Receptionist / Site Assistant (m/f/d) to join our Integrated Facilities Management team in Dusseldorf.

Responsibilities:
  • Register visitors upon arrival and issue visitor badges.
  • Provide visitors with necessary information about the site including EHS (Environmental Health and Safety) guidelines.
  • Assist visitors including booking and coordinating taxi service.
  • Answer and direct phone calls to appropriate personnel.
  • Manage incoming and outgoing mail and packages and run the internal distribution.
  • Maintain a clean and organized reception area.
  • Greet and welcome visitors in a professional and friendly manner.
  • Manage the availability of meeting rooms and help to plan and execute meetings.
  • Prepare and distribute correspondence, memos, and reports.
  • Maintain and update company databases and records.
  • Order and manage office supplies and inventory.
  • Manage Purchase Orders (POs) through their life cycle including handling of invoices.
  • Register new Vendors and manage the relationship.
  • Assist with scheduling and coordinating meetings and appointments.
  • Assist with the setup and maintenance of office equipment and facilities.
  • Perform daily site inspections.
  • Manage the site keys.
  • Coordinate with vendors and service providers for site-related needs including organization of handyman support.
  • Point of contact / Support in emergencies.
  • Support the site leader with various tasks and projects as needed.
  • Ensure compliance with company policies and procedures.
Your Profile:
  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • 3 years of experience as a receptionist, administrative assistant, team assistant, or similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Language skills: German (mother language), English (fluent).
  • Strong organizational and multitasking abilities.
  • Highly motivated.
  • Friendly and professional demeanor.
  • Ability to work independently and as part of a team.
