We are seeking a reliable, organized, and proactive
Receptionist & Administrative Support Coordinator to join our team and help ensure smooth daily operations while providing a welcoming experience to our guests and employees.
Key Responsibilities
- Greet and welcome guests and visitors with professionalism and courtesy.
- Process visitor badges according to company policy and maintain accurate badge control records.
- Manage incoming and outgoing mail, including parcel reception and shipping.
- Handle P.O. Box management and coordinate UPS shipments and invoice control.
- Answer and forward phone calls; manage answering machine messages efficiently.
- Manage email correspondence for own and reception accounts.
- Coordinate taxi bookings and control related invoices.
- Book meeting rooms and organize catering orders as required.
- Handle hotel, flight, and restaurant bookings for departments lacking assistance.
- Manage office supplies, envelopes, and place orders via Amazon account.
- Manage cash box and accounts receivable (AR) processing.
- Record janitor working hours in Excel and monitor invoice control.
- Administer company car bookings per Pool Car Policy.
- Control and update folders containing forms, policies, and memos.
- Provide support during customer events or training sessions as needed.
- Perform copy and badge pointer (name tag) handling tasks.
Required Qualifications And Experience
- Previous experience in reception, administrative, or customer service roles.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Excellent verbal and written communication skills.
- Ability to multitask and manage time effectively.
- Professional, friendly, and customer-focused attitude.
- Proficiency in both German and English.
Preferred Qualifications And Experience
- Experience with Oracle or other ERP systems.
- Familiarity with shipping carriers such as UPS and freight handling procedures.
- Basic accounting or invoice processing knowledge.
- Experience in event support or catering coordination.
- Comfortable working with reception and visitor management systems.\
