Role Overview

This role will be a core part of the team in Frankfurt, supporting the asset management team in providing excellent customer service.

Main Responsibilities

• Registration and management of leases and customers (including security deposits, rent reviews, options);
• Invoicing of rent, service charges and direct recharges eg utility consumption, with the parameters set in the contract, including indexation;
• Prepare rent roll/tenancy reports from recorded contracts;
• Weekly aging analysis, open invoices list, sending reminders; following up with Asset Management teams for further action;
• Daily bank reconciliations across multiple legal entities;
• Preparation of SC reconciliations and variance analysis; to share and discuss with AM teams;
• Support the Asset Management team with the budgeting process for Service Charge and other Property Costs;
• Support Asset / Property Management teams with the requisition of new suppliers;
• Create, receipt and manage Purchase Orders and Supplier Invoices across legal entities;
• Cooperate with Corporate Finance, Group Finance and Asset Management teams;
• Interact with Logicor centralized teams on data requests;
• Ad-hoc reporting on various projects;

Skills, Knowledge, and Experience

• Relevant professional experience: in administration of commercial, industrial property i.e. invoicing rent, service charges etc., repairs and maintenance, in lease administration
• An understanding of leases and service charge structure
• BSc/MSc degree in Finance or Economics
• Knowledge of German taxation and bookkeeping requirements
• Advanced level of English, knowledge of another European language is an advantage
• Confident user of MS Office, especially Excel (VLOOKUP, pivot, reporting), and property management software
• Good analytical and communication skills
• Strong organising and time management skills
• Excellent problem-solving skills
