Your mission

We are looking for a Project Manager (m/f/x) to join our Academy team at the appliedAI Institute for Europe gGmbH. You will orchestrate the end-to-end delivery of our educational offerings that make trustworthy AI accessible to professionals across private and public sectors. You’ll plan, coordinate, and manage AI education projects throughout their lifecycle—from ideation and kick-offs to analysis, development, monitoring, implementation, marketing, publishing, and evaluation—while communicating and coordinating with cross-functional teams to develop innovative educational programs that support Europe's advancement in trustworthy AI education.

Your responsibilities include:

1. Comprehensive project planning, tracking, and documentation to ensure seamless delivery and stakeholder alignment.
2. Driving project agendas, facilitating meetings, and managing task assignments to meet quality standards and deadlines.
3. Assessing project risks, developing mitigation strategies, and adapting scope based on stakeholder needs and resources.
4. Managing internal stakeholder communications via calls, emails, and meetings to ensure clear expectations and timely updates.
5. Supporting the Academy team lead with external stakeholder communications and management.
6. Coordinating cross-functional teams including instructional designers, trainers, reviewers, program managers, video editors, designers, and AI experts.

Your profile

• Bachelor's or Master’s degree in Project Management, Business Administration, Education, or a related field with at least 2 years of project management experience.
• Strong communication skills with proven ability to coordinate cross-functional teams and stakeholder relationships.
• Excellent planning, organization, and time management skills with experience managing project lifecycles.
• Problem-solving mindset with the ability to identify challenges, assess risks, and implement solutions.
• Experience with project management tools and collaborative platforms, preferably including Notion.
• Fluent in English and German (written and spoken), essential for this position.

Preferred qualifications:

• Understanding of machine learning, AI technologies, and experience with large language models (LLMs), especially in integrating generative AI into educational contexts.
• Experience managing educational technology projects, e-learning development, or training programs.
• Proficiency in collaborative platforms (Notion) and design software (Figma) for documentation and communication.
