We're seeking a Project Assistant / Business Support to join our Zeeco Germany team.

About the position
  • As our new Project Assistant & Business Support, you will be responsible for providing support to all departments within the business. You will be a vital part of the reception and business support team, ensuring all departments have the support they need to be successful. You will ensure that all documentation is submitted and received in accordance with project requirements for the sales & execution team, and that the document list is maintained and updated. You will also be responsible for other tasks assigned by the sales & project team (e.g., internal/external expediting for documentation).
Key responsibilities:
  • Admin support (German office):
  • Coordinate travel arrangements, including flights, visas, A1 certificates, visitor trips, restaurant bookings, taxis, car hires, and hotel reservations.
  • Purchase office supplies.
  • Manage office services and invoices.
  • Organize conference room bookings, room preparation, catering, and ensure cleanliness after events.
  • Reception duties and administrative support for all departments as required.
  • Project support for the sales & execution team:
  • Support sales activities and prepare standard sales documents like service work or spare parts.
  • Optimize profitability and revenue for each service visit by preparing travel and spare parts offerings in advance.
  • Coordinate freight forwarding for the office and projects in collaboration with logistics colleagues in the UK.
  • Prepare document front sheets and transmittal notes for submissions.
  • Adhere to procedures and record internal/Client documentation within the data management system.
  • Follow project-specific numbering and revision requirements.
  • Expedite documents from clients, suppliers, and internally to meet project schedules.
  • Liaise with Quality, Purchasing, Manufacturing, and sub-vendors to compile manufacturing records books.
  • Utilize resource tools such as ZOE, SAGE, and the company quality management system.
  • Assist with the compilation of operating and maintenance manuals.
  • Work closely with the projecting team to ensure documentation is complete and projects are delivered on time and within budget.

  • Previous reception and (technical) office administration experience.
  • Excellent MS Office skills – Outlook, Word, Excel, PowerPoint – and comfortable learning new systems and portals.
  • Excellent communication skills – verbal, written, and face-to-face.
  • A friendly and welcoming personality with a positive, "can-do" attitude.
  • Team player, resourceful, well-organized, dependable, efficient, and detail-oriented.
  • Ability to use initiative and make decisions independently with attention to detail.
  • Language skills: Fluent in German and English.
