You’re passionate about events—but more specifically, you’re the organizational mastermind behind the scenes. You thrive when juggling sourcing, compliance, and project admin support. You love structure, you live for Excel, and you’re the person everyone turns to when they need it done right and fast. You’ve got deep knowledge of healthcare regulations, a sharp eye for detail, and know the German event market inside-out. Sounds like you? Keep reading.

What you’ll be doing

In this role, you will work 100% on one of our key pharmaceutical clients

  1. Sourcing venues and suppliers in line with pharma compliance and client processes
  2. Supporting project managers with administrative tasks including reporting, budget updates, and scheduling
  3. Drafting and managing venue recommendations and cost estimates
  4. Acting as a point of contact for vendor negotiations, contracting, and logistics coordination
  5. Ensuring all compliance requirements are met and correctly documented
  6. Maintaining and improving structured reporting tools and documentation
  7. Contributing to continuous improvement in sourcing strategy and tools
  8. Building and maintaining a strong network of venue and service providers across Germany

Must haves

(We really mean it. Candidates who do not meet the following criteria will not be considered.)

  1. 5+ years of sourcing and/or administrative support experience in an agency or event context
  2. Proven experience supporting pharma clients in sourcing or event project management
  3. Strong knowledge of German venue and hotel market
  4. Hands-on mentality and experience working in high-pressure, fast-paced environments
  5. In-depth knowledge of healthcare compliance and event regulations
  6. Advanced Excel skills and structured reporting capabilities
  7. Experience with handling RFPs and supplier negotiations
  8. Fluency in both English and German (No scrambled Eier at Egg, bitte)

Nice to haves

  1. Fluency in other languages (in addition to English)
  2. Be proactive with ideas and creative solutions
  3. An excellent communicator and good listener
  4. Be yourself and bring your passions with you
