POSITION

We are looking for a Cologne-based "Personal Executive Assistant to the CEO (all genders)".

Your mission :

Work in close partnership with the CEO’s network—building trust, ensuring alignment, and collaborating across teams to manage priorities, resolve challenges, and enhance the CEO’s effectiveness through high-level administrative and strategic support.

CHALLENGE
  • Serve as the powerful right hand to our CEO, managing daily administrative tasks and acting as the key point of contact for executives, employees, clients, and external partners.
  • Processing all organizational and administrative office activities: efficient management of mailbox and calendar, prioritize tasks, and ensure timely, accurate information flow to meet deadlines and business needs.
  • In close collaboration with the CEO, plan and coordinate all business and personal travel—including creating detailed travel agendas and handling logistics such as visa applications, flight, hotel, and transfer bookings, meeting schedules, and expense reports.
  • Work cross-functionally with all departments to stay informed about strategic initiatives, independently prioritize upcoming topics, and continuously optimize processes and structures to boost efficiency and effectiveness in your area of responsibility.
  • Take proactive ownership of individual projects and processes—from concept development to implementation and control.

  • A commercial education or university degree (e.g., in Business Management or a related field)
  • Several years of experience as an Executive Assistant, Team Assistant, or in Project Management, with proven skills in logistics, coordination, and attention to detail

  • Highly proactive, solution-oriented, and organized, with excellent multitasking abilities
  • Adaptable and agile, thriving in a fast-paced environment while confidently managing competing priorities—and knowing when (and how) to say “no”
  • Exceptional communication and interpersonal skills that help you manage expectations and build trust at all levels
  • Tech-savvy, with the ability to quickly learn and master new tools and platforms

  • Fluent in English and business fluent in German - both written and spoken is mandatory
