KEY RESPONSIBILITIES :

  • Represent Rakuten Symphony as our main receptionist
  • Greet visitors and guests and directing them to the appropriate persons or departments.
  • Manage meeting rooms, including reservations and preparation.
  • Handle incoming and outgoing mail, couriers, and deliveries.
  • Assist with ensuring a safe, clean, and functional environment.
  • Act as liaison between employees and any outside vendors needed to resolve problems.
  • Set up, maintain, and organize central files, information, filing, and messages in office.
  • Manage office supplies and orders for the office.
  • Coordinate travel arrangements for visitors.
  • Ensure compliance with security standards and procedures at the reception.
  • Perform other duties related to general administration as assigned.

MINIMUM QUALIFICATIONS :

  • Proficient in Microsoft Office or related tools necessary to create and maintain written communication
  • Strong internal and external relationship-building skills using effective verbal and written communication.
  • Solution-oriented with excellent organizational skills and attention to detail.
  • Ability to communicate fluently in German & English.
  • Available to work on-site at least three to four days a week, 18-20 hours per week (flexible arrangement in collaboration with office manager).
