Title: Operations & Services Coordinator (m/f/d)

Position Summary:
The Operations & Services Coordinator (m/f/d) supports the operations team, delivering departmental strategy and business goals. The role involves maintaining high standards across various disciplines, supervising contracted support teams, and providing operational guidance to retail teams when needed.
Key Responsibilities
- Supervise outsourced Service Contracts:
- Support onsite facilities maintenance, working with service partners to meet technical, fabric, and compliance standards.
- Ensure services comply with SOPs, statutory, and Health & Safety requirements.
- Follow building regulations for maintenance and asset protection.
- Ensure staff training and safety tools are adequate.
- Manage client portals and audits for compliance.
- Proactively address issues within the Villages.
- Plan and prepare maintenance programs based on surveys and priorities.
- Manage operations of maintenance plans, communicate effectively, and review with the operations director.
- Oversee contracted service performance, KPIs, and SLAs.
- Promote innovations for operational excellence.
- Support health and safety within service contracts.
- Regularly review maintenance contracts for compliance.
- Ensure brand partner compliance with Village rules and regulations.
- Complete reporting and data capture for BREEAM monitoring.
- General Facilities Management (Soft Services):
- Manage daily village operations as Duty Shift Leader as needed.
- Understand and support all support functions per shift, including security, housekeeping, maintenance, landscaping, and general works.
- Assist in developing strategies for facilities management.
- Support budget preparation and reforecasts.
- Participate in early mornings and late finishes as per rota.
- Understand business continuity and crisis plans.
- Develop SOPs for operations and services.
- Adhere to company policies and guidelines.
- Manage operations improvement projects within budget.
- Identify stakeholders and resources for project success.
- Support investment project strategies and asset condition assessments.
- Ensure statutory H&S compliance for projects.
- Manage third-party contractors during projects.
- Assist in tender processes following company guidelines.
- Background & Personal Attributes:
- Practical experience in facilities management.
- Experience with outsourced services.
- Qualifications in Facilities Management or related fields are desirable.
- Ability to manage budgets and resources.

- Fluent in German and English; additional languages are a plus.
