The head of Logistics Cologne will oversee the art handling, warehousing, gallery logistics, and inventory management of the Cologne operation. The role includes oversight of security, Health and Safety, and facilities management for the office. The position requires compliance with Work rules, Fire, Health and Safety legislation, Sotheby’s Client Experience Standards, and Operational Policies. Reporting to the Head of Logistics and Gallery Operations London, this role collaborates closely with all functions within Operations and across the business to ensure the safe handling of artwork during all pre- and post-auction logistics.
RESPONSIBILITIES
Logistics
- Update and monitor all inbound and outbound tracking to ensure operation within KPIs.
- Manage issue tracking for inbound and outbound items, escalating issues promptly and supporting resolution.
- Oversee the input of Shipping & Logistics information in SAP within SLA.
- Ensure all items are received and released in SAP accurately and timely to maintain 100% inventory accuracy.
- Coordinate property movement between the office and third-party warehouses, scheduling and recording in SAP.
- Manage movements to third-party foundations for authentication and restoration, collaborating with shipping coordinators.
- Schedule photography sessions at the office and third-party warehouses, coordinating with contractors and departments to meet deadlines.
- Assist with art handling for photography, ensuring items are presentation-ready.
Gallery Manager
- Coordinate setup and breakdown of exhibitions, sales, and events, including scheduling third-party support.
- Liaise with IT regarding live auction requirements.
- Ensure exhibitions and events are fully staffed, recruiting temporary support or coordinating with the line manager for overseas assistance.
Inventory Management
Maintain 100% accuracy of Sotheby’s inventory and ensure secure storage of all items.
- Coordinate biannual physical reconciliations for Cologne and third-party warehouses, improving inventory processes.
- Resolve inventory discrepancies within specified timeframes.
- Manage inventory projects in Germany and support European initiatives.
Security
Ensure safety and security of staff, assets, visitors, and client property.
- Manage building key access, security contracts, alarm systems, and CCTV maintenance.
- Maintain access controls, including temporary passes and alarm codes.
- Escort high-value or delicate items as needed.
- Handle goods transportation for inspections and liaise with security and risk management departments.
- Support security planning for offsite exhibitions and emergency response procedures.
- Report damages and support client property claims.
- Collaborate with the jewelry department on security procedures.
- Serve as SAP approver for the Cologne office.
Health & Safety
Support a safe working environment and visitor safety.
- Organize safety training and induction for staff.
- Report accidents and incidents.
- Conduct fire drills annually.
- Maintain first aid supplies and train staff accordingly.
- Regularly audit fire routes, equipment, and occupancy management.
- Manage fire safety contractors and logs.
Property & Facilities Management
- Liaise with landlords and manage third-party service providers.
- Ensure compliance with legislation and safety standards for premises and equipment.
- Coordinate with contractors and stakeholders, including IT and operational supplies procurement.
