We are seeking a motivated and organized individual to manage our office operations and support our HR functions. If you thrive in a fast-paced environment and enjoy multitasking, this role is ideal for you!

Key Responsibilities :

The Office Manager will oversee the administrative, financial, and accounting management of the German office, as well as human resources, facilities management, and handling customer and internal requests. This role is a key partner across all departments of the company.

Administration
  • Office Supplies & Facility Management: Ensure the office is well-stocked and maintained, managing orders and overseeing facility needs.
  • General Administration: Handle various administrative tasks to support smooth office operations, including postbox management and document archiving.
  • Event Planning: Organize and execute internal events and group travel arrangements.
Finance & Accounting
  • Accounting: Manage invoicing for suppliers and customers, bank transactions, and credit collection.
  • Monthly Closing: Ensure smooth monthly financial closing processes.
  • Customer & Suppliers Demands: Address customer emails and supplier requests promptly.
  • Credit Card Expenses Follow-up: Collect invoices and manage related tasks.
Human Resources
  • Coordinate with the HR department at the Paris headquarters.
  • Payroll Management: Oversee payroll variables and ensure timely salary payments.
  • Onboarding & Offboarding: Participate in onboarding and offboarding processes for employees.
  • HR Administration: Handle declarations and other HR administrative tasks.
Qualifications :
  • Proven experience in similar roles such as office management, administration, finance, or HR coordination.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in relevant software and tools (Word, Excel, Google Workspace).
  • Fluent in German and English.
