Your Mission

As our Office Manager you’ll be the driving force behind making Hawk an outstanding place to work. From running day-to-day office operations to planning large company events, supporting executive travel, and creating an inspiring workplace environment, you’ll play a key role in shaping our internal culture. You’ll be based in Munich or Berlin and support our teams across Munich, Berlin and London, ensuring each location runs smoothly, looks great, and reflects our values.

Your Responsibilities:

Office Management

  • Keep daily office operations in Munich, Berlin, and London running seamlessly

  • Act as the first point of contact for employees and visitorsEnsure ISO requirements are consistently met (safety, documentation, cleanliness)

  • Foster a welcoming, well-functioning office environment – you’re the go-to person for making things work

  • Lead our upcoming Munich office move once our sublease ends (estimated: end of 2025)

Office Interior & Setup

  • Continuously improve the office space – from seating arrangements to plants, artwork, and design touches that reflect our culture

  • Ensure meeting room tech and ergonomic setups are up to scratch

  • Own and maintain up-to-date seating charts across all locations

Travel & Executive Support

  • Roll out and manage a travel booking tool for the company

  • Support team members with booking and itinerary planning

  • Provide administrative assistance to our CEO (Wolfgang), including calendar, travel, and coordination

Event Planning & Coordination

  • Own the planning and execution of three major company events each year:

    • Sales Kick-Off

    • Tech Summit

    • Christmas Party

  • Organise monthly HQ Team Weeks and other team activities throughout the year (Health Days, after-work socials, etc.)

Gifting & Company Culture

  • Manage team gifting – from birthdays to work anniversaries

  • Oversee company merchandise: stock, orders, and distribution

Budget & Supplier Management

  • Own and manage the office and events budget

  • Handle relationships with office and event suppliers and service providers

Your Profile

  • 5+ Years experience in office management, operations, or executive assistance

  • Previously built an office management function in a fast growing startup

  • Passionate about building strong team culture and great workplace experiences

  • Organised, proactive, and able to juggle multiple tasks at once

  • Strong communicator with a service-oriented mindset

  • Fluent in English (German is a plus)

  • Based in or near Munich/Berlin, with occasional travel to other offices
