Your mission

In this role, you'll be responsible for developing efficient office systems to coordinate administrative functions, vendor relations, and facility management. As the central point of contact for operational matters, you'll implement practical solutions to ensure our workspace runs smoothly while supporting our team in meeting business objectives.

Key Responsibilities

  • Be the wizard behind our workspace by keeping our two Berlin locations stocked, organized, and running like a well-oiled machine.
  • Coordinate office activities to ensure efficiency and compliance with company policies.
  • Manage office inventory, ordering necessary supplies, and overseeing the office layout.
  • Ensure the maintenance of office equipment and liaise with IT support for troubleshooting.
  • Manage all our office related vendor relationships and negotiate contracts to make sure we're getting good deals without blowing the budget.
  • Coordinate and plan team events, from our Freaky Fridays to holiday parties and team-building activities that boost morale and showcase our company culture.
  • Organize business trips, including bookings, visas, and travel planning.
  • Help us foster a positive office culture through effective communication and problem-solving, while facilitating cross-departmental collaboration and acting as the go-to person for office-related queries.
  • Handle the admin side of HR basics, such as onboarding new team members and making sure they have everything they need from day one.
  • Most importantly, be the problem-solver who anticipates issues before they arise and keeps our multicultural team connected despite different working styles.

Requirements

  • Professional experience: 2-3 years of experience in office management, administrative coordination, or executive assistance. Proven ability to organize workflows, manage vendors, and create efficient systems using tools like Google Workspace.
  • Technical and administrative skills: Strong expertise in managing calendars, organizing documentation, and implementing office procedures. You excel at balancing day-to-day operations with long-term planning.
  • Communication and coordination: Demonstrated ability to liaise between teams, manage service providers, and communicate effectively with staff at all levels.
  • Adaptability and problem-solving: A proactive, solutions-oriented mindset with the ability to troubleshoot issues quickly in a fast-paced, dynamic startup environment.
  • Languages proficiency: Fluency in English and German, with excellent written and verbal communication skills.
