Essential Duties And Responsibilities
As an Office Coordinator you are responsible for ensuring the smooth operation of our office environment. Here are the duties and responsibilities for this role:
Administrative support
- Manage office supplies, equipment, and maintenance.
- Handle incoming and outgoing communication, including mail, calls, post.
- Accept and sign deliveries (post or other deliveries).
- Provide administrative support related to office operations.
- Manage shipping, receiving, and storing all goods and services related to the Düsseldorf site.
- Office and Garage Entry.
Facility management- Manage relationships with service providers and vendors.
- Oversee the receiving of office guests (for instance, opening the office door and receiving visitors).
- Coordinate with building management for repairs and maintenance.
- Order office supplies.
Financial Management- Monitor office expenses.
- Administer documentation related to the pension scheme in cooperation with HR.
Communication and coordination- Coordinate meetings, conferences, and office events.
- Oversee visitor management.
- Coordinate with IT support to oversee the use of office technology, including computers, printers, and software.
Health and Safety- Ensure safety and health regulations are followed in the office to maintain a safe work environment.
- Prepare for and respond to emergencies, ensuring staff are trained in emergency procedures.
Possible Further Responsibilities- Obtain offers/quotes for services, e.g., travel agency cooperation.
- Responsible for office-wide communications and announcements on screen.
- Ensure data security and manage office data storage (Data Protection officer).
Recommended Qualifications, Skills/Competencies- Fluent in English and German (both written and spoken).
- Experience in Office or Hotel Management.
- Basic understanding of human resource functions.
- Excellent communication and interpersonal skills.
- Detail-oriented and proactive approach to tasks.
- Organizational and multitasking abilities.
- Proficient in Microsoft Office programs.
