A leading organization in business coordination seeks an Office Management Support Specialist in Borkum, Niedersachsen. This position offers a dynamic opportunity to contribute to the success of our organisation while gaining valuable experience in various aspects of business coordination and support. As a pivotal member of our organisation, you will play a crucial role in providing office management support to multiple departments, including People & Culture, Customer Service, Health and Safety/Compliance, and the Head of Site and Operations. This role will involve managing documents and records, preparing documents and presentations, generating reports, organising translations, and managing visitor interactions.
Key responsibilities & tasks
Provide office management support to People & Culture, Customer Service, Health and Safety/Compliance departments, and the Head of Site and Operations.
Organise interdepartmental meetings, including scheduling, logistic coordination, and agenda preparation.
Take minutes during interdepartmental meetings, documentation discussions, decisions, and action items for distribution & follow-up
Greet and assist visitors, including clients, internal visitors, and candidates, ensuring a positive and professional experience.
Translate internal documents (DE-EN)
Perform data entry and maintain records accurately into databases or spreadsheets.
Prepare and format documents, presentations, and reports for internal and external distribution.
Compile data and generate reports for departmental and management use, providing insights and analysis as needed.

o Proven experience in a similar role
o Excellent organisational and multitasking abilities, with the capacity to prioritize tasks effectively.
o Fluent German and English communication skills, both verbal and written.
o Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook, Teams)
o Ability to work self-responsibly
