Essential Functions:

  • Front office management - reception of calls and guests, service providers, customers in the office.
  • Receiving and sending parcels and correspondence.
  • Material order management and tracking for the different departments.
  • Monitor and maintain office supplies
  • Coordinate and supervise the cleaning of the office.
  • Support to the HR department during onboarding, offboarding, absence management and others.
  • Remote offices support (Jena, Freiburg, Budapest [material mgmt.]) in the above mentioned areas

Knowledge, Skills, and Abilities:

  • Previous professional experience in similar capacity
  • Excellent communication, analysis and problem-solving skills.
  • Great organizational skills with a high attention to detail.
  • Ability to multitask, work under pressure and prioritize varied workload.
  • Self-motivated, proactive, creative and energetic with a positive can-do attitude.
  • Excellent German and English verbal and written skills.
  • Experience in a customer facing role
  • Solid Microsoft Office skills – Outlook, Excel, Word, PowerPoint
