Job Summary:

The position of Office & Administration Coordinator Hamburg is responsible for ensuring efficient operation of the Hamburg office site, including coordination of office infrastructure, services, and facilities, on-site event and meeting coordination, canteen management, and internal and external site communications. This role also provides administrative support to the EMEA leadership team as required.

Responsibilities:

  • Site Hospitality Management: Create a welcoming environment for employees and visitors, support logistics, accommodation, food, and beverages, and act as the first contact for site inquiries. Manage the on-site canteen and staff, focusing on digitization and automation of processes. Oversee laundry of rental uniforms and drive improvement projects such as digital ordering and pool laundry systems.
  • Site Engagement and Communication: Coordinate communication activities, including translations into German, in cooperation with the EMEA Communications Manager. Develop annual engagement plans and support regional management in internal and external communications.
  • Office Infrastructure Management: Manage office services, facilities, and procedures, including refurbishment activities. Ensure confidentiality and explore automation opportunities. Coordinate with administrative staff for smooth operations and collaborate across sites.
  • Event and Meeting Coordination: Plan and organize meetings, conferences, and workshops, including logistics and venue management. Work with Procurement to manage hotel and venue options, and track follow-up actions.
  • Administrative Support to Regional Leadership Team: Provide scheduling, travel, and expense support. Facilitate leadership meetings, including logistics and agenda preparation.
