HL Learn, the global Learning and Development team, is part of the firm’s People function, and headed by the Chief Learning Officer, based in Washington D.C. Teams in each of the firm’s regions (Americas, Asia-Pacific, and EMEA) collaborate on global, regional, and local initiatives.
The EMEA team is based across offices in London, Birmingham, Munich and Johannesburg, and supports the firm’s People strategy through a range of development programs, workshops, coaching, mentoring, online learning, and other career development activities.

ROLE OVERVIEW

The Learning and Development Team and Events Coordinator (f/m/d) plays a central role in supporting the design and delivery of a range of regional development initiatives for lawyers. This includes in-house programs, workshops and e-learning, as well as liaising with external providers and venues. A key responsibility of this role will be to provide essential administrative support for the HL Learn team, ensuring that processes and communications run efficiently.

KEY RESPONSIBILITIES / ACCOUNTABILITIES

  • Supporting our program managers to deliver international Learning and Development training events, including both in-person and virtual learning experiences for 20-100 lawyers (before, during and after the events)
  • Scheduling dates for training events
  • Liaising with internal and external facilitators in relation to arrangements for their sessions
  • Coordinating external vendors, event locations, hotels and service providers (including catering, social activities etc.)
  • Overseeing the invitation process (selecting, tracking and communicating with invitees using the Learning Management System (Cornerstone) together with system administrators and Program Managers)
  • Communicating with participants, contributors and management (including creating and sending invitations for programs, newsletters, reports, managing team calendars, answering questions)
  • Collaborating with other coordinators/administrators in the Learning and Development Team as well as with other in-house teams (HR, Design Team, Bookkeeping, Event Management and Reception team, Print Shop)
  • Preparing training materials (Power Point presentations, hand-outs, flyers, name tags, digital and physical workbooks etc.)
  • Hosting virtual and in-person training events, ensuring the highest quality of experience for participants and contributors
  • Creating training evaluation surveys and reports
  • Data maintenance (documentation of participations on our Learning Management System (Cornerstone) as well as maintaining other team records and databases), tracking invoices and cost spending
  • Overseeing the electronic filing system
  • Creating social media content (LinkedIn)
  • Supporting updates of our internal brochures and intranet presence (writing text, layouts etc.)
  • Performing additional duties or responsibilities, which fall reasonably within the ambit of the job description or in accordance with operational requirements
  • All members of the firm participate in our Responsible Business program

QUALIFICATIONS AND TRAINING

  • Completed vocational training in office administration, event management, hospitality or similar with an additional 2+ years of professional experience or Bachelor in event or tourism management, business administration, education or similar with 1+ years of professional experience

GENERAL ATTRIBUTES

  • Willingness to travel occasionally in Germany/Europe
  • While hybrid working solutions are possible, this role also requires presence in our Munich office on at least three days per week and occasional travel within Germany/Europe
