Overview
As a part-time Learning Administrator you are supporting both Clients and GP teams with the successful organization of Classes / Sessions that take place at the client premise in person or virtual/remotely for 30 hours a week. The typical schedule would be 3 days per week from 7 am to 1 pm and 2 days per week from 12 noon to 6 pm. You are accountable for all aspects of the Training Administration and Seminar Management to ensure the Class runs successfully (e.g. room preparation, information sharing). This includes both physical presence at the client premise and remote support. You are personally responsible for maintaining excellent Client and Stakeholder relationships, as well as contributing to the Internal KPI’s / SLA’s and ensuring all Customer Satisfaction scores are achieved.
General Duties And Responsibilities
- First point of contact at the information counter for all inquiries
- Coordination of external services providers e.g. event technology
- Preparation of training rooms pre- and post-training
- Checking room settings according to trainer specifications
- Ensuring technical equipment is up and running according to requirements
- Ticket creation in case of issues in the building/rooms
- Responsible for information signs, signposts, documents
- Answering all kinds of questions via email, chatbot, phone and in person
- Updating knowledge management system to develop efficient and effective response to all kinds of inquiries
- Ensure all agreed Service Level Agreements are achieved
- Make suggestions for improvements to improve the services we provide
Seminar Management Includes
- Support the annual scheduling process for the client
- General administration in the LMS
- Create and adjust courses based on the product manager specifications
- Digital dispatch of invitation links, documents, requirements for virtual trainings
- Room reservations in the internal room booking system
- Keep product managers and trainers informed at all times
- Participants handling including reminders, adjustments, cancellations
- Recording and archiving participants attendance including actual costs
- Provide feedback to product managers, training institutes if needed
- Obtaining documents, printing, request physical material in internal system
Essential Requirements
- Written and spoken English to proficient level
- Proven experience in an operational, processing, or customer service role
- Good IT skills including Microsoft Word and Excel
- General administration experience
- Proven effective communication skills, including verbal and written
- Excellent organizational skills
- Customer focused approach
- Cross cultural experience, working across various time zones
- Proven teamwork experience, including virtual teams

- Proven ability to work well under pressure and within demanding timescales
Desirable Requirements
