A well-known Japanese company is looking for an IT Coordinator within their Administration Team to join their international office.
The main role will be liaising between stakeholders (employees, external vendors, and Japan HQ) for their IT matters. The ideal candidate will have some knowledge or experience in IT and be willing to support other team duties such as Treasury, Accounting, and General Affairs.
TYPE : Full-time, initially a 1-year contract (potential for extension)
WORKING HOURS : Monday to Friday, 9:00 – 18:00 (1-hour lunch break)
SALARY : €40-50K depending on experience
START : ASAP
LOCATION : Amsterdam, the Netherlands (3 days a week at the office, depending on projects)
PRIMARY JOB FUNCTIONS :
- Resolving IT support requests from employees by collaborating with IT vendors as needed.
- Answering employee questions regarding computer systems, working with IT vendors as needed.
- Setting up new devices, changing configurations, settings, and permissions to resolve issues, in coordination with IT vendors.
- Generating sign-ins for new hires during onboarding.
- Installing new software and hardware drivers, updating existing ones as necessary, with IT vendor support.
- Updating employees on the status of their service requests.
- Logging all service requests and updating tickets accordingly.
- Preparing IT-related reports for the company’s shareholders.
- Managing employees’ account information.
- Managing MDM, MS365, and other systems in collaboration with IT vendors.
- Troubleshooting IT issues with vendor support.
- Participating in IT-related projects within the company.
SECONDARY JOB FUNCTIONS :
Treasury
- Managing incoming and outgoing payments, with internal reporting.
- Issuing invoices related to lease and sale transactions, excluding maintenance reserve invoices.
- Monitoring engine utilization and issuing invoices for maintenance reserves.
- Communicating with customers regarding payments, reminders, notices, and reports.
- Monitoring daily cash balances in company bank accounts.
- Requesting payments for all outgoing transactions except salaries.
- Monitoring and managing the progress of fund transfers.
Accounting
- Recording daily cash flow entries.
- Reconciling bookkeeping records with bank statements and activities.
- Recording transactions related to leases, sales, and loans.
- Responding to balance confirmation requests for lessees’ audits.
- Supporting financial audits by analyzing cash flows.
General Affairs
- Handling office supplies, internal entertainment events, and routine communication with clients.
IDEAL CANDIDATE :
- At least 3 years of experience in a similar administrative role.
- Some knowledge or experience in IT support or implementation.
- Business-level English proficiency is required.
- Interest or understanding of working in a Japanese company.
- Enjoys working in an international environment.
- Excellent interpersonal and communication skills.
