Job Purpose

To support and optimize operational, governance, and reporting activities within the Shared Service Architecture (SSA) function of a major public sector IT organization. The role bridges technical service development with business management and provides critical support for planning, procurement, compliance, and internal quality assurance.

Key Responsibilities

Operational Governance and Coordination

  • Administer internal policies, rules, and cross-functional procedures
  • Manage data and workflows within the internal project and order management system
  • Ensure compliance with internal standards and maintain process consistency

Reporting & Business Support

  • Assist in preparation of strategic business reports and status updates
  • Support financial and personnel planning activities
  • Conduct data collection, validation, and quality checks across SSA tools and platforms
  • Create templates, instructions, and documentation for internal use
  • Procurement and Resource Planning

  • Provide assistance in public procurement processes , ensuring alignment with procurement law
  • Coordinate resource planning for external service providers in collaboration with SSA resource managers and project leads
  • Management Support

  • Prepare decision memos and management briefings
  • Assist with meeting planning and scheduling
  • Serve as an interface between strategic planning and operational implementation to drive standardization and traceability across teams
  • Required Qualifications

    Education

  • University degree (Bachelors or Masters) or equivalent qualification in IT, Business Administration, or a related field
  • Language Skills

  • German C1 (according to CEFR); proof via certificate, diploma, or signed declaration
  • IT Tools

  • Advanced MS Office skills : Excel, Word, PowerPoint
  • Documentation Skills

  • Ability to structure information, draft instructions and SOPs, and visualize process flows
  • Professional Experience

  • Candidates must have at least 1 year of uninterrupted experience (prior to application submission) in each of the following areas :

    Internal Order Processing

  • Managing orders in internal systems, ensuring data quality, understanding end-to-end workflows
  • Documentation of Processes

  • Developing process chains, user guides, and operational documentation
  • Data Analysis & Reporting

  • Creating analytical reports for management, ensuring high-quality data inputs
  • Note : Experience must reflect substantial and repeated engagement in these tasks, not one-time or occasional work.
