Position Overview

TELUS Digital is seeking a talented, innovative, hands-on, enthusiastic General Administrative Assistant that provides essential support in a wide range of administrative tasks to ensure an office operates efficiently. You will handle tasks like managing calendars, preparing documents and coordinating meetings. Essentially, you will act as a bridge between staff, clients, and senior management, facilitating smooth communication and workflow.

The successful candidate will report into the Director of Commercial Enablement based in Germany.

You'll need excellent communication, professional interpersonal skills and the ability to successfully function in an innovative environment.The Administrative Assistant will be proficient in working independently on projects, from conception to completion

Responsibilities:

  • Travel Management: Creating requests for approval, support team with travel arrangements for both internal and external stakeholders.
  • Scheduling and Coordination: Managing calendars, scheduling meetings, and coordinating events.
  • Document Management: Preparing reports, drafting memos, organizing files, and maintaining records.
  • Office Management: Ordering supplies, managing office equipment, and ensuring a clean and organized workspace.
  • Support to Staff: Assisting other employees with various tasks, providing information, and answering questions.
  • Data Entry and Management: Entering data into computer systems, maintaining databases, and ensuring accuracy.
  • Basic Accounting: Assisting with tasks like expense reporting, invoicing, and reconciliation.
  • Project Management: Tracking deadlines, facilitating communication, and providing support for various projects.

Requirements:

  • Third level qualification in HR/Commerce or relevant experience an advantage
  • Minimum 3 years’ experience in an administrative role namely; Admin Assistant , Executive Assistant, Personal Assistant, HR Generalist or Office Manager role
  • Experience having supported people in multiple countries is preferred
  • Travel Management experience is a must
  • Experience in working with confidential information
  • Experience with rapid and complex changing work environment

  • Fluency in both written and spoken German & English
  • Proficient in excel and word as well as Google Workspace applications ideally
  • Strong Analytical Skills an advantage
