As an Executive Search Coordinator on the Global Partner & Managing Director (Executive) Recruitment Team, you will work closely with team members, executive candidates, internal colleagues, and Firm leaders in all our offices around the world. This role ensures consistent, timely, efficient, and quality experiences for all parties.

The successful candidate will be comfortable working independently and as part of a close team. A flexible approach is essential, anticipating the needs of clients and managing a range of competing priorities to tight deadlines. You will find energy in prioritizing multiple “urgent” tasks daily, moving seamlessly from scheduling to report development to project management. This role will also regularly attend client meetings, prepping recruiters for the calls and taking notes to capture to-do items, and ensuring those items are completed on time.

Specifically, you will:

  • Provide high standards of administrative support to the global AlixPartners PMD recruiting team with a proactive orientation.
  • Manage daily diary administration, including organizing internal and external meetings across EMEA, the Americas, and Asia.
  • Build trusted relationships with key contacts within the firm.
  • Ensure recruiting data is collected, recorded, and documented in a timely, confidential, and legally compliant manner.
  • Oversee and organize the workflow of executive searches via our CRM and ATS (Greenhouse).
  • Schedule and maintain internal client/hiring manager calls, debriefs, candidate interviews, and other relevant stakeholder meetings.
  • Draft interview prep emails to candidates, including interview bios, schedules, and logistics information.
  • Capture and action requests for scheduling, problem-solving when conflicts arise, and ensure open communication channels.
  • Process invoices, ensuring they are tracked and paid properly.
  • Produce correspondence and liaise with internal clients and candidates professionally and efficiently.
  • Occasionally manage travel and accommodation arrangements for candidates.
  • Provide cover for holiday/sickness and help other Coordinators in EMEA and the United States where necessary.
  • Complete ad hoc projects/tasks on request.

What you’ll need

  • Prior experience supporting C-suite level executives and teams in a similar professional environment and/or an executive recruiting team.
  • Strong Microsoft skills with good working knowledge of Word, PowerPoint, and Excel.
  • Experience with a candidate relationship management (CRM) or applicant tracking system (ATS) such as Greenhouse or Oracle.
  • High level of accuracy and attention to detail.
  • Excellent organizational skills and ability to manage time, prioritize conflicting demands, and multi-task.
  • Outstanding English language communication skills (verbal and written). Local language skills required if located in Germany.
  • High level of discretion, particularly around confidential and sensitive information.
  • Willingness to work outside of normal business hours as needed.
  • Ability to work full-time, with a minimum of 3 days in the office and up to 2 days remotely.
