A leading non-profit organization in Germany is seeking an experienced Executive Director to provide strategic leadership and operational management. The role involves overseeing programs, managing staff, and leading fundraising initiatives to support the organization’s mission. Ideal candidates will have extensive experience in non-profit leadership, fundraising, and a passion for community engagement. The BWEEMS Executive Director (ED) serves as the chief administrator and is responsible for providing leadership and implementing policies and programs to carry out the work of the organization. The ED has overall strategic and operational responsibility for BWEEMS staff, volunteers, programs, expansion, and execution of its mission. The ED also provides support to the Board of Directors (BODs) in developing organizational strategy and goals, attaining/allocating resources, and establishing policies and providing leadership and direction to staff carrying out key roles. Other key duties include fundraising, marketing, and community outreach. This position reports directly to the BODs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Leadership
- The ED provides leadership and direction to ensure the effective operation and delivery of programs and to ensure BWEEMS successfully fulfills its mission into the future, including:
- Oversee the daily administration of the organization by establishing and ensuring adherence to policies and procedures, and ensuring the implementation of programs, activities, and services that facilitate the achievement of organizational outcomes and meets the requirements of all grants
- Recruit, hire, lead, and retain competent, qualified staff with a focus on growing and developing their skills and competencies
- Manage an optimal team structure that supports growth and development of the organization and staff
- Inspire a creative, energized, collaborative, and safe culture and environment for staff, board members, volunteers, and the greater BWEEMS community
- Make and execute decisions that allow BWEEMS’ to operate within the approved budget
- Evaluate internal and external issues that affect BWEEMS and recommend and execute appropriate actions to mitigate
- Act as the public face of and be the primary spokesperson, promoter, and representative of BWEEMS to the media (include press and social media platforms), STEM community, and other relevant constituencies
- Engage with the broader STEM community, donors, sponsors, volunteers, and patrons in professional and social settings, forging and maintaining positive relationships
- Work collaboratively with BWEEM’s staff, providing staff with clear, regular evaluations, professional development opportunities, and a common sense of purpose
Board Development
- The ED develops, maintains, and supports a strong board of directors, seeking and building board involvement with strategic direction for ongoing operations
- Support effective board roles and functioning
- Assist in identifying and recruiting new board members
- Collaboration and communication with the Board of Directors on policy decisions and fundraising
- Oversee any staff liaisons to the Board committees to ensure they are provided with the information and support necessary to fulfill their objectives.
Organization Operations
- The ED establishes employment and administrative policies and procedures for all functions and day-to-day operations, including:
- Ensure ongoing mission-centric programmatic excellence and consistent quality of finance and administration, fundraising, communications, and systems
- Ensure all necessary administrative and operational systems are in place to support effective operations
- Regularly track progress and evaluate program components, so as to measure successes that can be effectively communicated to the board, funders, and other constituents
- Ensure productive and effective staff performance, including drafting and implementing performance standards and conducting performance reviews
- Oversee proper record keeping and reporting including activities and events conducted, breakdowns of participation figures and trends, notable achievements and any problems/issues.
- Review and refine data systems, following best practices around data privacy and data maintenance
- Ensure BWEEMS’ is in accordance with all relevant legislation and regulations related to its operations and to maintain 501(c)3 status
Marketing and Public Relations/Communications
- The ED has oversight of marketing and other communication efforts to increase visibility of BWEEMS’ programs, services, and activities and communicate BWEEMS’ mission and vision clearly to members, supporters, donors, and partners
- Actively engage and energize BWEEMS’ members, partners, Board Members, funders, and donors
- Support growth of the BWEEMS’ community by maintaining current relationships, supporting initiatives to increase membership and participation, and increasing media presence.
- Develop and maintain good public relations
- Work collaboratively with partner organizations to increase the impact of BWEEMS
- Explore creative ways to increase engagement with BWEEMS through collaborations, partnerships, events, and other means
Strategic Planning
- The ED works with the BoD and staff to ensure that the mission of BWEEMS is fulfilled through programs, strategic planning, and outreach, and that BWEEMS can successfully fulfill its mission for the future
- Define the strategic direction of BWEEMS in partnership with the BoD
- Ensure and oversee an annual planning process that results in the development and implementation of BWEEMS’ strategy
- Develop work plans and organizational development goals to advance the organization’s strategic direction
- Ensure that all programs, policies, and practices are in alignment with BWEEMS’ mission, vision, and values
- Oversee the evaluation of how successful BWEEMS’ is at fulfilling its strategy and work with the BoD to identify opportunities for improvement and/or redirection
Financial Management
- The ED develops resources sufficient to ensure the financial health and fiscal integrity of the organization through long-term financial planning and ongoing budget analysis
- Lead development, implementation and monitoring of the organization’s annual budget in collaboration with financial management staff and Board Finance Committee.
- Propose and submit to the BoD an annual budget, as well as monthly financial statements accurately reflecting the financial condition of the organization
- Oversee fiscal management that operates within the approved budget, ensuring maximum use of resources and maintaining the organization in a positive financial position
- Provide oversight and coordination of all financial operations, including day-to-day financials and payroll
- Ensure financial best practices are followed and realistic budgets are met
- Oversee the development of financial development strategic plans and, as necessary, participate in cultivation and solicitation visits with development staff and board members
Fundraising
- The ED leads fundraising efforts and develops other sources of revenue as necessary to support BWEEMS’ mission and activities
- Oversee the development and management of the annual fundraising plan
- Identify, write, and submit grants in collaboration with other BWEEMS’ staff
- Expand and develop relationships with individual donors, family foundations, and philanthropic foundations.
- Lead the staff and BoD in fundraising and donor expansion efforts
- Process donations and manage the fundraising database
- A minimum of 5-7 years of experience in managing programs or operations in a non-profit agency, with at least 2-3 years in a leadership capacity or an equivalent combination of experience from another industry
- Proven leadership, relationship management, assessment management, and non-profit financial management experience
- Strong skills and demonstrated success in fundraising and grant writing.
- Thorough knowledge of the principles and practices of managing non-profit organizations, resources development, and fundraising
- Demonstrated success of effectively leading change and organizational growth through strategic planning
- Excellence in organizational management with the ability to coach staff, manage, and develop high-performance teams, set and achieve strategic objectives, and manage a budget
- Demonstrated ability to organize, direct, plan and coordinate operations
- Past success working with a board of directors with the ability to cultivate board
member relationships
- Ability to establish and maintain effective working relationships with the BoD, staff, community groups, partners, and funders
- The ability to translate broad visions and plans into specific objectives oriented towards results.
- Prior experience in and/or knowledge of the fields of evolution, ecology, and marine science an advantage
- Flexible, adaptable, organized, with multi-tasking abilities, working well under pressure
- Self-directed, takes initiative, possesses creative problem-solving skills
DESIRED/ADDITIONAL QUALIFICATIONS & SKILLS
- Passionate about diversity, equity, and inclusion issues within the fields of ecology, evolution, and marine science
- Advanced degree, ideally an MBA or a Masters in nonprofit management or public administration, with at least 4-5 years of senior management experience OR
- Demonstrated experience of 8-10 years at a senior or executive leadership level in a non-profit organization of comparable quality, size, and reputation
- Demonstrated experience as an accomplished fundraiser
- A record of leading successful development programs and proven financial savvy, including familiarity with nonprofit budgeting and financial reports.
