Job Description

About the Role

We are seeking a highly organized Executive Assistant to the CEO, with PMO experience, to support the CEO and senior leadership in driving operational excellence, alignment, and efficiency. Your responsibilities will include streamlining the CEO’s calendar, coordinating logistics, and creating a stable, well-structured environment for senior leaders. This role extends beyond traditional administrative support, requiring proactive leadership in managing information flow, optimizing processes, and facilitating key events such as leadership offsites, strategy councils, and weekly management meetings. A strong project management mindset will help you structure decision-making, improve capacity planning, and enhance cross-functional communication.

Key Responsibilities
  • Executive & Administrative Support: Serve as the right-hand to the CEO, managing daily operations, calendar, travel, and high-level correspondence. Prepare materials and briefings for meetings, handle sensitive communications, and anticipate needs to solve operational challenges.
  • Leadership & Events: Plan and execute leadership events, moderate discussions, support CEO-led initiatives, and facilitate strategic alignment and process documentation across teams.
  • Operational Excellence: Optimize workflows, support capacity planning, track action items, and act as a thought partner to the CEO to structure decision-making and address complex challenges.
Qualifications
  • 2-4 years experience in project management, operations, executive support, or PMO roles, with a desire to contribute to social impact.
  • Highly organized, proactive, and able to anticipate needs and remove obstacles.
  • Agile, initiative-taker, capable of navigating a fast-changing startup environment.
  • Excellent communication and stakeholder management skills, with the ability to engage diverse stakeholders.
  • Strong facilitation skills for moderating meetings and strategic discussions.
  • Analytical, structured thinker with problem-solving abilities and operational insight.
  • Collaborative, culturally aware, and interested in contributing to team success.
  • Tech-savvy with automation tools experience, entrepreneurial spirit, and a drive for efficiency and impact.
