We are offering an exciting opportunity for the position of Executive Assistant to Head of Transport/LLP DSC EMEA & Office Manager (m/f/d). In this position you will play a crucial role to provide comprehensive support to the Transport & LLP Leadership Team and the Regional Office. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
What will your responsibilities be?
  • Provide sophisticated calendar management for Transport & LLP. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  • Act as a liaison and provide support to the Transport Leadership Team. Arrange and handle all logistics for Team meetings and events.
  • Complete a broad variety of administrative tasks that facilitate the Head of Transport/LLP's ability to effectively manage the organization, including making travel arrangements and completing expense and mileage reports, producing reports and presentations, booking meeting rooms, handling correspondence and taking minutes and writing them up subsequently
  • Work closely with the Head of Transport/LLP to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate Head of Transport/LLP's needs in advance of meetings, conferences, etc.
  • Provide "gateway" role, providing a bridge for smooth communication between the Head of Transport/LLP and staff, demonstrating leadership to maintain credibility, trust, and support with the Leadership Team and their teams.
  • Ensure smooth (administrative) onboarding experience for new employees / offboarding experience for leavers, including ordering process for equipment
  • Oversee office facilities planning, space allocation, equipment maintenance, and compliance with safety regulations while managing programs for equipment and supply upkeep.
  • Collaborate with the workplace safety officer to ensure adherence to safety standards, manage access systems, and support employees with facilities-related inquiries.

  • 3 - 5 years of experience in executive assistant, support or similar, including supporting C-level executives preferably in a global organization
  • Exceptional organizational skills and impeccable attention to detail
  • Ability to complete a high volume of tasks and projects with little or no guidance
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Expert proficiency with Microsoft Office
  • Excellent project management skills
  • Strong verbal and written communication skills
  • Fluency in German and English both written and spoken
  • Location: Bonn, Germany
Preferred Qualifications
  • Experience in internal communications
  • Experience in event planning and management
  • Proven record of expertise in office administration, facilitates management, and space planning
  • Bachelor's degree or equivalent qualification in event management/hospitality
