PURPOSE & OVERALL RELEVANCE FOR THE ORGANIZATION
Support the VP and deliver a high service mentality to ensure effective and efficient organization in the department.
KEY RESPONSIBILITIES
- Handle routine correspondence to ensure timely and accurate responses.
- Format, type, and edit a variety of materials, including correspondence, memos, minutes, reports, and confidential documents.
- Schedule and organize internal and external meetings and conferences.
- Coordinate and execute travel arrangements and support the Retail & Franchise team (e.g., flight and hotel bookings, visas).
- Assist in completing travel expense reports.
- Manage the department's cost-center, including monitoring budgets and approving invoices for correct accounting transactions.
- Maintain and update templates, department files, organizational charts, and assist in creating/revising presentations.
- Assist in and coordinate projects and assignments as requested/directed.
GENERAL TASKS
- Order office supplies and manage the shopping platform.
- Coordinate and administer investment requests (budget management).
- Support onboarding of new team members (workspace setup, hardware supply, master data maintenance, access rights, office supplies).
- Assist with office setups and moves within HQ.
- Understand and communicate standards, processes, and policies.
- Support the teams in day-to-day business operations.
