A leading company in the social care sector is seeking an Executive Assistant to support the CEO and manage various administrative tasks. This role involves coordinating meetings, managing travel, and overseeing office operations. The ideal candidate will have several years of experience in an international setting, excellent communication skills in both German and English, and strong organizational abilities. As an Executive Assistant (f/m/d), you will work closely with our CEO, actively supporting them with administrative tasks and representing them in various matters. You will serve as a point of contact for communication with internal teams and maintain relationships with external stakeholders.
What you will do:
Manage the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, and national/international travel.
Organize and coordinate board and management meetings, including preparing agendas, presentations, and minutes.
Handle special projects such as coordinating corporate and governance matters (e.g., M&A, commercial register changes), including communication with notaries and lawyers, managing signature processes, and document administration.
Actively plan (internal and external) meetings and events.
Oversee coordination of the office location in close collaboration with office management.
Support the onboarding and offboarding process, especially for executives.
Provide assistance to other departments or executives as needed.
Several years of professional experience as an Executive Assistant in an international environment.
Proficient in MS Office, Teams, SharePoint, and collaboration tools (e.g., Confluence).
Excellent communication skills in German and English (at least C-level), especially when interacting with executives.
Strong organizational talent with project management skills and a structured, independent working style, even under pressure.
Trustworthy and reliable, with a professional demeanor, a proactive hands-on mentality, and enthusiasm for new projects.
