Qualifikationen

About the Role

We are seeking a highly capable and proactive Executive Assistant to provide dedicated support to one to two C-suite executives. This role requires more than just administrative assistance – you will act as a trusted partner, ensuring seamless organisation, efficiency, and problem-solving on behalf of your executives. You will need to anticipate needs, coordinate key processes, and handle critical administrative and operational tasks with precision and discretion.

You will be a highly organised, service minded and solution-oriented professional who thrives in a fast-paced, international environment. Your ability to think ahead, manage multiple priorities, and foster strong relationships with stakeholders will be essential to your success.

Key Responsibilities

  • Executive Support & Partnership – Provide high-level administrative and organisational support to assigned C-suite members, acting as a trusted partner who enables them to focus on strategic priorities.
  • Time Management & Prioritisation – Manage calendars and schedules pro-actively and independently. Recommend best practices regarding time management, prioritisation, delegation, and workflow efficiency.
  • Meeting Coordination – Manage complex scheduling, swiftly resolving conflicts and ensuring an optimised time management approach. Prepare agendas, documents, and briefings for meetings, including Advisory Board sessions.
  • Proactive Project Management – Oversee project timelines, track key milestones, and coordinate with internal and external stakeholders to ensure all necessary alignments, documentation, and preparations are in place before key meetings.
  • Travel & Visitor Management – Arrange and manage domestic and international travel logistics, including agendas, bookings and expense reports. Host and coordinate visits from national and international guests.
  • Administrative Excellence – Handle a wide range of administrative tasks, including office organisation, correspondence, filing, and mail processing.

Your Profile

  • Professional Background – Successfully completed commercial training (“kaufmännische Ausbildung”), Bachelor's degree, or an equivalent qualification. Minimum of 5 years’ experience in an executive support role within an international environment.
  • Strong Client Service Orientation – Highly responsive with excellent interpersonal and communication skills. Exceptionally organised with acute attention to detail and a strong ability to execute.
  • High Initiative & Autonomy – Proactive, self-motivated, and able to act independently with minimal supervision. Demonstrates a strong work ethic and a solution-driven mindset.
  • Communicative Team Player – Enjoys working in a diverse, international team and is comfortable being on-site in Backnang 3–4 days per week. Contributes to a positive and inclusive workplace culture.
  • Tech-Savvy & Growth-Oriented – Strong proficiency in Microsoft Outlook, Word, Excel, Teams, SharePoint, and Salesforce. Willingness to embrace new technologies and continuously improve work efficiency.
  • Discretion & Integrity – Handles sensitive information with the highest level of confidentiality and professionalism.
  • Language Skills – Fluent in German and highly proficient in written and spoken English.
