We are looking for an Enterprise Collaboration & Tools Engineer to join our IT Enterprise Team. In this role, you will operate and improve selected collaboration, workflow, and service-management tools so that teams can work efficiently, securely, and reliably. Collaboration tools are the main domain, but the role is broader than tool administration: you will connect services, improve workflows, strengthen supportability, and help establish practical ways of working.

You will take ownership of day-to-day platform administration, service workflows, incident and request quality, documentation, small automations, and approved AI-assisted workflows. You will work closely with Enterprise IT colleagues, central platform owners, IAM and security stakeholders, vendors, and business teams. The team is building its documentation and operational processes, so this role will help create clear runbooks, ownership models, and repeatable support practices. Routine onsite end-user hardware, printing, video‑conferencing, and desk support remain with the dedicated end‑user support team.

You will report to the Head of IT Operations.

Job requirements
  • Administer and troubleshoot agreed collaboration and enterprise tools, such as Jira, Coda, Miro, Slack, Google Workspace, or comparable platforms.
  • Improve workflows, service requests, queues, permissions, automations, knowledge‑base content, and day‑to‑day service delivery.
  • Triage incidents and requests, communicate clearly, coordinate escalations, and document causes, solutions, and follow‑up actions.
  • Create practical documentation, runbooks, ownership information, and repeatable processes; introduce small automations and approved AI‑assisted workflows where they add value.
  • Support tool rollouts, migrations, and integration changes, and travel to another office location from time to time to support local teams when required.
Job responsibilities
  • 5+ years of professional experience in enterprise IT, including IT operations, systems administration, service management, enterprise applications, or collaboration and workflow tools; equivalent practical experience is welcome.
  • Experience administering at least one workflow or service-management platform (for example Jira, Siit, Coda, ServiceNow, or a comparable tool), with the ability to transfer that knowledge to new platforms.
  • Practical experience with one or more collaboration or productivity platforms, such as Slack, Google Workspace, Miro, or comparable SaaS tools, including configuration, permissions, troubleshooting, integrations, user enablement, and service improvement.
  • Confidence troubleshooting integrations and implementing small automations using platform rules, APIs, Bash, Python, or similar tools. Experience with AI assistants, AI agents, and integrations is a strong advantage, including testing outputs, handling failures, protecting sensitive information, and knowing when human approval is required.
  • Solid IT service‑operations fundamentals, including ticket and queue hygiene, incident communication, change discipline, prioritisation, and structured troubleshooting.
  • Strong documentation and stakeholder‑management skills; able to explain technical issues clearly, coordinate work across teams, and help establish practical support processes.
  • Able to work independently, ask for input on non‑standard or high‑risk changes, build shared team knowledge, and help create clear processes where they do not yet exist.

Nice to Have skills
  • Familiarity with IAM and SSO concepts, such as Okta or comparable platforms, SAML/OIDC, SCIM, group‑based access, and auditability.
  • Experience with service catalogues, knowledge management, vendor coordination, reporting, or improving ITSM processes.
  • Familiarity with data governance, retention, privacy, or compliance concepts, including GDPR.
  • Experience using AI responsibly for troubleshooting, automation, documentation, or knowledge management, including AI agents, integrations, workflow design, output validation, access controls, and safe handling of confidential information.
  • Hands‑on hardware and software troubleshooting experience, enabling practical support for teams during office visits or local support activities.
