The Max Planck Institute for Intelligent Systems is a world leading research institute in artificial intelligence, machine learning, and robotics, located on two campuses in Stuttgart and Tübingen. The Scientific Coordination Office (SCO) provides support services and manages collaborations, graduate education, and outreach & public engagement, fostering groundbreaking research to positively impact the future.

ELLIS (European Laboratory for Learning and Intelligent Systems) is a European AI network of excellence. It focuses on fundamental science, technical innovation and societal impact, and counts 43 ELLIS sites in 17 countries, 16 ELLIS research programs, and a pan-European PhD program. ELLIS brings together leading scientists engaged in the research fields of machine learning and modern AI. ELLIS is co-funded by the Tübingen AI Center, one of five German national Centers of excellence for research on artificial intelligence.

We are looking to hire an

ELLIS Doctoral Program Coordinator (m/f/div), 50–75% at the Max Planck Institute for Intelligent Systems in Tübingen
Roles & Responsibilities

The coordinator supports the directors and research group leaders in the recruiting of doctoral students, in particular through the doctoral program of the European Laboratory for Learning and Intelligent Systems, as well as supports doctoral candidates with completing the program. Specific tasks include the following:

  • Coordinating the recruitment of excellent doctoral researchers including processing of applications and interviews.
  • Day-to-day communication with faculty members, doctoral researchers, applicants, reviewers, administration, members of the scientific coordination office and partners.
  • Point of contact for external partner institutions regarding exchange of doctoral researchers; setting up cooperation agreements, and providing needed support.
  • Maintaining and updating the website.
  • Supporting doctoral researchers with organizational issues and keeping track of their achievements.
  • Promoting scientific networking by organization of scientific workshops, trainings, retreats and conferences.
  • Collecting data, and preparing reports.
Education & Experience

The applicant should have:

  • Completed higher education (and ideally a doctoral degree) in a related scientific field.
  • Excellent organizational and problem-solving skills.
  • Very good command of both English and German.
  • The willingness and capability to learn about the research topics of the program.

Professional experience in running structured, international doctoral programs and/or in research administration would be an asset.

Our offer:

As part of the Scientific Coordination Office (SCO), you will join a motivated, international, and diverse team of approximately 30members. Your place of work will be Tübingen. We offer flexible working hours, the possibility of mobile working, and many other benefits. Salaries and contracts will be based on qualifications and previous professional experience according to the Public Service Wage Agreement (TVöDBund) guidelines. All social benefits of the public service apply. The position is initially limited to two years.
