Workplace Operations Coordinator Role

Workplace Operations Coordinators are the first point of contact for Arcadians and guests in an Arcadis office. They support the delivery of the Workplace Promise & User Experience Standards by providing high-quality front-of-house and workplace operations services to designated offices.

They play a key role in ensuring effective and efficient day-to-day office operations, maintaining high standards of professionalism and best practices in workplace management.

Reports to: Workplace Operations Senior Coordinator / Principal Coordinator / Workplace Operations Specialist

Key Interfaces:

  • Arcadis colleagues & guests
  • Workplace Operations Senior & Principal Coordinators / Workplace Operations Specialist and Local Workplace Operations team
  • Enabling services such as Procurement, Technology, Finance, ESG, SHEQ

Key Responsibilities:

  • Provide professional front-of-house services including reception, concierge, housekeeping, event management, and inquiries.
  • Support workplace operations for designated offices, adhering to standards and procedures.
  • Manage booking systems, meeting rooms, and AV facilities.
  • Handle workplace administration tasks such as office supplies, welcome packs, and inductions.
  • Manage financial activities including PO processing and tracking expenditures against budgets.
  • Communicate proactively to ensure workplace usability and issue resolution.
  • Coordinate with enabling functions and suppliers to maintain high standards and resolve issues.
  • Contribute to development, innovation, and continuous improvement.
  • Assist with compliance activities related to H&S, quality, sustainability, and security, following relevant legislation and standards.
  • Support emergency and crisis response, including first aid and fire warden roles.
  • Assist other sites with workplace operations as needed.

Knowledge:

  • Experience with FM/Workplace practices in similar environments.

Skills and Experience:

  • Fluent in written and spoken English and the local language.
  • Ability to work independently and as part of a team.
  • Proactive problem solver and 'doer'.
  • Proficient with IT systems used in workplace services.
