Wyndham Hotels & Resorts is seeking a Group Desk Coordinator, Sales Operations EMEA to join our team in Berlin, Germany.

Job Summary

The Group Desk Coordinator, Sales Operations EMEA, is a key member of the Wyndham Sales Organisation team, handling administrative duties and projects. They serve as the main contact for all group/MICE-related leads across the Wyndham Sales Group & MICE EMEA team. The role focuses on supporting Wyndham Sales EMEA – Group & MICE teams by coordinating incoming leads, tracking them in relevant systems, and ensuring active follow-up with hotels and clients to drive conversion and revenue. The Coordinator works closely with internal teams and hotel partners to ensure clear communication and smooth execution throughout the enquiry process. Prior experience in hotel group sales and meeting coordination, along with familiarity with group business dynamics and strong organizational skills, are essential. Additional responsibilities may include assisting with regular and ad hoc tasks as directed.

Responsibilities

Group & MICE Sales “Lead Catcher”

  • Act as the 'lead catcher' for Wyndham Sales EMEA – Group & MICE teams, providing centralised coordination and support.
  • Coordinate incoming requests, communicate with internal teams, hotels, and customers, ensuring timely and accurate submission of sales leads.
  • Manage the shared inbox and leads queue efficiently, ensuring enquiries are acknowledged, tracked, and actioned.
  • Provide backup support during team absences, handling Group & MICE enquiries as needed.
  • Collaborate with internal stakeholders to gather information and resources for processing leads.
  • Liaise with hotel teams for timely responses to enquiries.
  • Support data collection and tracking of leads (CARS) on a quarterly/monthly basis.

System & Data Update

  • Utilize tools such as Salesforce, Wyndham Community, Cvent MICE, etc., to manage lead data.
  • Ensure data accuracy and support process improvements.
  • Maintain and update data in relevant platforms.

Communication

  • Serve as a point of contact between Wyndham Sales, GAS, and hotel teams for enquiries.
  • Clarify lead requirements, identify hotel options, and coordinate responses.
  • Keep stakeholders informed about status and issues.

Deadline Management & Follow-Up

  • Monitor deadlines and ensure hotel responses are timely.
  • Track leads from submission to closure, ensuring visibility and accountability.

Segment Support

  • Provide administrative support to the Global Sales EMEA – Group & MICE Team Leader and team, including report preparation and data entry.
Sales Operations Support
  • Support the Sales Operations Manager EMEA in sales functions and project management.
  • Work with leadership to identify growth opportunities.
Personal Development

Role Complexity

This role involves moderate decision-making related to lead coordination and tracking. Tasks are mostly recurring or well-defined, with limited day-to-day autonomy. The Coordinator supports the team without direct supervisory responsibilities, becoming proficient with key sales tools like Salesforce and Cvent. A proactive, detail-oriented, and independent working style within established guidelines is essential. The role does not manage a budget but requires responsible handling of personal expenses. The Coordinator maintains professional relationships and acts as a brand ambassador for Wyndham Hotels & Resorts in the EMEA region.

Key qualities include a service mindset, deadline orientation, flexibility, quick learning ability, multitasking, strong communication skills, organizational navigation, interpersonal skills, reliability, teamwork, and system proficiency (Excel, Word, Outlook, PowerPoint, Adobe, Salesforce, Cvent, Delphi, Opera, SynXis, HRS).

Experience/Certificates/Education

• University diploma or equivalent; further education in hospitality or business is a plus.
• At least two years’ experience in hospitality or a fast-paced environment.
• Knowledge of Group & MICE lead handling at hotel or support level.
• Experience with Salesforce, Cvent MICE, Opera, Delphi, SynXis, HRS is highly valued.
• Background in hotel administration, sales support, or coordination preferred.
• Experience working with cross-functional and global teams is advantageous.
• Fluency in English mandatory; German preferred.
• Willingness to travel within EMEA and internationally.
