Job Description

As an Associate Management Assistant, you will support three senior managers in the Biomedicine team at Miltenyi Biotec. This dynamic role involves coordinating meetings, travel, budgets, and events within an international, innovative environment. You will act as a point of contact across teams and departments, working closely with internal stakeholders and external partners, emphasizing attention to detail, structure, and proactive communication.

  1. Manage scheduling and organization of meetings, including room reservations, agendas, minutes, catering, and travel arrangements for internal and external participants.
  2. Assist in preparing and coordinating department-level events such as advisory boards, conferences, and European meetings.
  3. Oversee travel bookings for the management team and international Key Opinion Leaders (KOLs), including documentation and reimbursements.
  4. Process departmental expenses accurately and maintain budget oversight.
  5. Support seamless daily operations within the Biomedicine assistant team and ensure coverage during absences or vacations.
Qualifications
  • Completed higher secondary education (Abitur) or vocational training in business administration or a related field.
  • Minimum of 5 years relevant experience in office management, hospitality, event coordination, or travel support.
  • Highly organized, resilient, and capable of managing multiple priorities in a fast-paced, international environment.
  • Strong team spirit, excellent communication skills, and a solution-oriented, service-minded attitude.
  • Proficient in English and German, both written and spoken; willingness to pass a level 4 language test (e.g., TOEFL).
  • Proficient in MS Office (Outlook, Excel); SAP knowledge is a plus.
  • Willing to travel occasionally (about 4 times a year) and to work on-site in Bergisch Gladbach full-time, with up to 1 day/week home office upon approval.
