A leading company in the tech sector is seeking an experienced Executive Assistant to provide high-level support to the executive team. The ideal candidate will manage complex schedules, coordinate meetings, and maintain effective communication with stakeholders. This role requires strong organizational skills, discretion, and the ability to work autonomously in a fast-paced environment. Fluency in both German and English is essential for this position.
Providing high-level organizational and administrative support to the executive team, including calendar management, travel arrangements, expense reporting/accounting, and event organization.
Acting as the interface between management and internal/external stakeholders (e.g., board members, investors), managing information flow, ensuring timely and effective communication, and monitoring deadline compliance.
Coordinating internal meetings and events such as Strategy Off-Sites, ELT Meetings, Roadshows, and the quarterly Board Summit, including travel management for all participants.
Preparing and editing correspondence, communications, transcripts, presentations, and other documents, and managing their filing across various systems.
Collaborating closely with the finance, legal, and support function teams (Marketing, People & Culture, Sales).
Supporting special projects and initiatives as needed.
Establishing and maintaining communication with clients and partners to foster long-term relationships and drive company growth.
At least 10 years of experience as an Executive Assistant, Management Assistant, or similar role, preferably in a tech or corporate environment.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools and virtual meeting platforms.
Ability to work autonomously, with strong attention to detail, problem-solving, and time management skills.
Maintaining discretion and confidentiality.
Ability to manage multiple priorities in a fast-paced environment.
Excellent communication skills and a confident, engaging manner for effective interaction with C-level executives, board members, and external stakeholders.
Fluency in German and English, with the ability to work with diverse international teams.
